The Associate Director of Intra-School Initiatives, Alumni Relations is responsible for the planning and implementation of CAA programs and projects that both strategically engage and provide tangible benefits to alumni and students. This individual will play a significant role in strengthening existing programs in collaboration with deans, campus administrative offices and academic departments to provide CAA services throughout the campus and community with special emphasis on School-based stakeholders. The Associate Director of Intra-School Initiatives will be responsible for managing the planning, development, execution, and leveraging of key CAA initiatives for School-based alumni leaders, associations, and groups.
Responsibilities include, but are not limited to the following:
● Assist with alumni relations programs focusing on volunteer development, collaboration with Schools for inter-disciplinary programs, and supporting the efforts of the dean, development and student affairs collaborators.
● Serve as the conduit to integrate School of Professional Studies, and the Graduate School of Arts & Sciences with CAA units including University Relations, Regional and Shared Interest Groups, Events and Programs, and Marketing and Digital Initiatives.
● Plan, implement and promote intra-school alumni programs that support the goals of the Campaign in collaboration with colleagues throughout the Office of Alumni and Development and the various Schools.
● Serve as the CAA and University Alumni Relations’ point-of-contact for all Schools as it relates to CAA-School activities and projects.
● Work under the direction of the Vice President and Senior Executive Director on implementing strategies related to the CAA 2023 Strategic Plan including: taking the lead for the CAA Partnership Initiative, manage the Student Leadership Council and coordinate the CAA Listen Tour.
● Coordinate and implement volunteer relations activities for the Office of Alumni and Development including: interacting with volunteer leaders on the ongoing progress of VolunteerColumbia, leveraging events and initiatives including Columbia Alumni Leaders Weekend for School-based associations and groups; collaborative work with the School’s alumni directors (CADs) including meetings, communications, and the alumni relations retreat; and undertaking special projects related to the strategic initiatives of the Office of Alumni and Development’s School-based unit.
● Assist with all School-based strategic planning in conjunction with the CAA’s strategic planning process—aligning the Schools’ initiatives to maximize CAA resources and tools.
● Work closely with the Senior Executive Director and liaise with the Schools to build volunteer opportunities, instigate volunteer pipelines, identify emerging leaders, and strategize with alumni and development colleagues on matching alumni with meaningful engagement opportunities.
● Serve as primary liaison to the Student Affairs Committee (SAC) of the University Senate and the CAA Recent Alumni and Student Committee.
● Serve as lead for volunteer recruitment drive(s) as part of CAA 2023
● Serve as a member of the Columbia Alumni Leaders Weekend Steering Committee
● Collaborate closely with development colleagues in identifying new ways of increasing support from alumni; routinely identify and qualify alumni prospects for gifts; communicate development-related activities via written contact reports filed in Athena and periodic attendance at prospect management meetings.
● Manage project development and execution including best practices, milestones, timelines, suggested teams, target audiences, and developing process and procedure manuals, etc.
● Handle logistics, scheduling, implementation, planning and other details for projects when required.
● Act as liaison with other departments on projects ensuring coordination among faculty, alumni, administrative, and creative offices throughout the University, as well as with external consultants and vendors.
● Ensure adherence to project management process (intake forms, creative briefs, etc.)
● Create, and in some cases give presentations to University leaders, alumni, donors, and colleagues
● Execute alumni and development assignments independently, in conjunction with team members, or in a collaboration with freelancers
● Other projects as assigned in order to meet the needs of the Department
Bachelor’s degree required with 3-5 years project management experience in consulting or higher education setting. Excellent communication and interpersonal skills, together with the ability to work collaboratively and courteously with colleagues, alumni, development partners, various internal and external constituents, and the general public Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines. Strong analytical and critical thinking skills so as to be able to collect and analyze the appropriate data and information to ensure that the programs are regularly measured, assessed, and enhanced. Demonstrably strong writing skills. Must complete projects with minimal supervision.
Prior experience with Athena and Alma 2.0 preferred. Significant experience working with volunteer leaders, boards, and key stakeholders preferred. Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines required
Prior knowledge of the Columbia University community, the CAA, and various University entities preferred. Demonstrated ability to strategize, implement, and build constituency programs and activities, along with a talent for influencing without authority preferred.
