Position Overview:

The Grants/Accounts Receivable Associate will support KIPP DC’s portfolio of federal and state grants through the preparation of reimbursement requests and the collection, evaluation, and organization of supporting documentation. The role will also support the collection and processing of other receivables at KIPP DC through the preparation of invoices, journal entries, and other schedules and documents as necessary. The Associate is based at KIPP DC’s Headquarters and will report to the Grants Accounting Manager.

Key Responsibilities:

  • Assist with preparation of grant budgets during the application process
  • Provide the Development team with all necessary fiscal documents (990, financial statements, expenditures, and receipts) for reporting to funders
  • Review grant expenses and supporting documentation for grant compliance and allowability
  • Request and track time and effort certifications and related documents from staff
  • Prepare grant drawdown requests in Excel and facilitate upload to OSSE’s Enterprise Grants Management System
  • Assist with the tracking of grant agreements, award amounts, and remaining funds to be spent (public and private) 
  • Prepare and maintain hard copy and electronic grant files 
  • Prepare and send invoices for other receivables such as rent and other expected/outstanding payments 
  • Deposit checks using Wells Fargo’s Commercial Electronic Office Desktop Deposit system
  • Review accounts receivable listing and accounts receivable aging schedule and follow up with outstanding receivables
  • Assist with managing the receipt of cash from all schools and facilitate the deposits of cash to the bank
  • Assist with the management and oversight of adherence to the KIPP DC Cash Receipt Policy and Procedures document
  • Prepare and review cash and check deposits for KIPP DC’s monthly financial close and maintain physical and digital records
  • Prepare revenue-related schedules and journal entries for the monthly close
  • Assist with KIPP DC’s annual financial audit and support additional monitoring visits/audits as necessary
  • Perform other assignments/projects as assigned
  • Serve as a full-time and engaged member of KIPP DC’s staff

 Skills and Characteristics:

  • Bachelor’s degree
  • 1 to 2 years related experience 
  • Demonstrated expertise in Excel spreadsheets, particularly with formulas and other functions
  • Comfort working in a fast-paced, non-profit environment
  • Experience working collaboratively in a team-based environment
  • Strong verbal, written and interpersonal communication skills
  • Commitment to KIPP DC’s mission and strength in the key competencies of accountability, driving results, initiative and self-management, professionalism, tenacity, and teamwork and building relationships

 Preferred Skills and Experience: 

  • Experience with accounting or development, particularly in a non-profit or education setting 
  • Experience working with OMB Circulars and federal grant regulations 
  • Experience with Microsoft Dynamics GP 
  • An interest in education and passion for KIPP DC’s mission
