Description

The Neighborhood Farmers Market Alliance is seeking a full time Manager of Administration and Finance who will provide leadership for the internal parts of our organization including budgeting oversight, grants, human resources and development, and day-to-day administration of non-market operations. The Manager of Finance and Administration will work closely with the Executive Director and the Operations Manager and the ideal candidate will have some experience in all of these fields, with at least 5 years professional experience. We are seeking a motivated systems thinker, strategic partner, and energetic leader on behalf of all staff at the Neighborhood Farmers Market Alliance. Proven experience in data analytics and database management, implementing new technology, working with stakeholders, and staff and team development.

 

Some weekend work is required, including regular and ongoing market visits and responsibility for being “on call” for market emergencies on a rotating basis. To learn more, please review the job description here.

Status: Full-time

Compensation: $61,200 to $67,800

Benefits: Eligible for employer-covered benefits package including medical, dental and vision, 3 weeks PTO and a 401k match after 1 year.

Hours: Weekday business hours with semi-regular market visits on weekends and evenings

 

RESPONSIBILITIES

Reporting to the Executive Director, the Manager of Finance and Administration oversees the day-to-day aspects of NFM including budgeting and finance (30%), technology, administration and operations (30%), human resources (30%), and grant oversight and reporting (10%). This role will supervise key staff in those areas, and work in tandem with the Executive Director, Operations Manager, staff and board to develop and execute strategy, surmount barriers, and ensure organizational capacity.

 

FINANCE & BUDGETING 

  • Drafts and coordinates the annual budget and monthly reporting and works directly with the Finance Manager supervising benefits, payroll, taxes, accounts receivable and payable in accordance with Generally Accepted Accounting Principles
  • Coordinates annual operating plan and participates in strategic planning for the organization
  • Oversees grant management, including collaborative work-planning and invoicing
  • Oversees and improves systems that track vendor sales, market statistics, and other data
  • Works with the Operations Manager and Market Managers to assure markets are meeting budgeted goals
  • Provides ongoing data analysis of markets, vendors, or vendor categories and recommendations that support our mission and organizational health
  • Attends and records all NFM Board of Trustees Meetings and engages the NFM Board in fiscal strategy, policy, oversight, and compliance issues

 

TECHNOLOGY

  • Provides oversight and leads training and improvement efforts for all internal and external technology, including network, equipment, software, website development, and vendor application database
  • Provides analysis and recommendations for technology that supports efficiency and strategic growth for the NFM
  • Coordinates with the NFM Office Manager on all equipment and IT support

 

HUMAN RESOURCES

  • Manages all HR functions including personnel policies, hiring procedures and benefits administration; supervises payroll, PTO and scheduling systems
  • Directly supervises the Finance Manager, Office Manager & Programs Coordinator, and technology staff, contractors, and projects
  • Creates a culture of learning and continuous improvement including regular work planning, feedback and performance management, staff development and recognition
  • Leads the performance management process ensuring all staff are engaged in goalsetting and regular review of our efforts and individual contributions

 

OPERATIONS & PROGRAM SUPPORT

  • Visits each market regularly to engage with staff and our market community, support implementation of programs or policies, or serve as administrative back-up
  • Provides oversight to ensure that market surveys, market research, outreach and other methods are undertaken to keep markets strong and relevant
  • Provides oversight to lead staff on low income outreach, food access, and the Fresh Bucks Program
  • Works in collaboration with the Manager of Market Operations to provide training, budgeting tools, and human resources support
  • Serves as a liaison to develop foundation, donor, city or stakeholder relationships as assigned

  

QUALIFICATIONS

  • Motivated to advance the cause of sustainable agriculture and the success of small family farms.
  • Minimum education or equivalent experience: Bachelor’s degree or higher; Master’s preferred.
  • Minimum 5 years of successful experience managing nonprofit programs or administration
  • Results-oriented and proven track record of exceeding performance measures with a bias for the bottom line.
  • Ability to balance program delivery with budget realities; project management and creative resourcefulness.
  • Ability to plan, organize, schedule and budget to achieve key priorities and think strategically to anticipate future consequences.
  • High integrity and discretion that earns the trust of vendors, staff and community leaders.
  • Excellent interpersonal skills – ability to listen and accurately understand, make informed decisions, and earn the trust of a wide variety of people.
  • Ability to write clear, precise, well organized letters, procedures, documents, and proposals.
  • Ability to work with a high degree of independence while maintaining strong communication with others as appropriate.
  • Strong familiarity and demonstrated skill in working with people from diverse backgrounds, grounding in equity and inclusion and awareness of social justice issues.
  • Competent in utilizing a variety of software, including Word, Excel, PowerPoint, Google Drive, and QuickBooks. Experience with implementing or managing newer task, relationship, and data management software strongly desired.
