Summary: 

The Program Coordinator, Foundation position is responsible for gift processing and acknowledgement, administrative support to the Foundation Staff/Board and data management.


This Exempt position will report to the Director of Donor Relations and Development Systems in the Division of Foundation.



Primary Responsibilities:


• Donation Processing and Acknowledgement

Manage gift processing, problem solving of coding and documentation with accounting, prepare donation reports for accounting, access areas for improvement, update procedures and update constituent data reports from Aptify.


• Donor Relations

Serve as contact and communicate with all donors regarding gift questions.

Ensure gifts ae processed according to donor intent.

Oversee donor acknowledgement process.

Manage stewardship mailings including tax receipts, thank you letters, commitment updates and e-mail communications.


• Foundation Board

Provide support to the Board Chair and Directors.

Oversee foundation schedule, meeting spaces and general information.

Onboard new Board Directors.

Reimbursement policy and forms.


• Clinical Congress

Represent the Foundation at Resource Committee meetings.

Oversee staffing and operations at Clinical Congress.

Create pre and post meeting communication.

Review and approve final materials.

Manage Board Director travel, housing and registration.

Coordinate meeting room, set up and catering for Board Meeting.


• Data Management

Develop policies and procedures for Raiser’s Edge data management.

Maintain, update and adjust Raiser’s Edge records.

Develop policies and procedures for maintenance of gift and donor files.

Oversee annual maintenance of files.


• Other administrative duties as needed.


Requirements:

• Bachelor’s Degree from an accredited college or university is preferred.


• 2-4 years of experience in administration, data management and customer service is required.


• Experience in non-profit fundraising and/or gift processing is preferred.


• Strong working knowledge of Microsoft Office Products (Outlook, Word and Excel).


• Experience in Raiser’s Edge is strongly preferred.


• Capable of providing excellent customer service.


• Attention to detail and organizational skills.


• Must be able to multi-task.


• Display high level of energy and thrive in a fast-paced environment.


• Ability to plan and prioritize workload and meet deadlines.


• Experience in Associations, professional services, healthcare, and/or education desired.



Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Performs work in a normal office environment with long hours in front of the computer. 


Other Necessary Requirements: Minimum travel for activities such as out of town meetings is required.
