Executive Assistant Job Description

Position: Executive Assistant (temp to perm)

Location: Remote during COVID-19; or in Long Island City, Queens office.  (Travel may be expected when attending events on ABC’s behalf.) 

Compensation: $20 an hour

Time Commitment: Minimum 20 hours / week (part-time)

Position Reports To: Chief Executive Officer

Organization History:

Arts Business Collaborative (ABC) is a 501(c)3 technical assistance and research organization committed to improving the quality of life of people of color through the arts and STEAM (science, technology, engineering, arts, and math). Our programs focus on the underlying factors that affect quality of life for people of color: access to capital, access to networks, access to training, and entrepreneurship. 

Our vision is to 1) create systems and pathways for BIPOC arts practitioners to remain economically viable, 2) facilitate BIPOC-supporting arts and cultural institutions’ and arts practitioners’ ability to initiate and respond to creative destruction with excellence, and 3) cultivate the arts as the universal gateway to political action and social change for BIPOC. 

ABC accomplishes this through our Grassroots Action Project (GAP) with subsidized technical assistance and capacity building services and fiscal sponsorship; and scholarly research through our Rising Tides Research Institute. 

While ABC’s budget has grown from less than $200k to over $10M in a matter of months (due to the growth of our sponsored projects and increased support of ABC through the Black Lives Matter movement), we are still a startup. 

Position Description:

The Executive Assistant will be responsible for preparing documents, visual presentations, and memos for the Founder and Chief Executive Officer as well as organizing their calendar and supporting events where the CEO is present. The Assistant is the first line of contact to the CEO and will likely be communicating regularly with clients, funders, and partners.

Responsibilities: Duties of the Executive Assistant include, but may not be limited to:

Administrative Support (80%)

  • Manage and organize CEO’s calendar and set up meetings
  • Organize and prioritize large volumes of information, calls and handles office issues/problems in a timely and accurate manner
  • Handle confidential and non-routine information
  • Type and design general correspondences, memos, chart, tables, graphs, business plans, as well as complete and submit proposals.
  • Make travel and accommodation arrangements
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence

Event Support (20%)

  • Assist with the planning and execution of ABC events with strong CEO involvement
  • Forecast event budgets
  • Monitor guest lists and invitations

Additional Skills:

The ideal candidate should have their own computer and a reliable internet connection, proficiency with G Suite, and excellent communication skills. 

Experience

2-4 years of administrative experience supporting an executive required
