Job Description

The Office Manager performs diverse administrative duties in support of SF Achievers work with participants and internal teams. The Office Manager is an integral member of SF Achievers administrative team, and is responsible for managing the day-to-day office operations. The Office Manager will work directly under the supervision of SF Achievers Executive Director. The OM is a critical component in the inner workings of the organization; s/he is responsible for administrative support and for managing the day-to-day affairs of the office, including....

Support the Executive Director

  • Support the Executive Director; oversee assigned administrative duties, assure operational efficacy and efficiently—i.e. reporting, calendars, meeting schedules and minutes, program and budget oversight, billing & payments, data cultivation
  • Communicate and maintain correspondence with board members; partner with Executive Director to gather, prepare and edit monthly Report for distribution to Board of Directors
  • Review and analyze reports, summarize information and, in collaboration with the Executive Director, contribute to the planning and implementing of office policies and procedures, protocols and systems
  • Attend board meetings and special events when asked/available
  • All other duties as assigned

Office Management

  • Create and maintain program files, procedures, and policies
  • Monitor and maintain system for tracking short- and long-term program achievements; assist with tracking progress of strategic priorities, program performance—high- and lowlights
  • Work with the Executive Director to increase social media presence, brand awareness among community-members and potential partners, coordinate opportunities to leverage Board and stakeholder involvement
  • Assist in Fund-Development efforts, including curating donor databases/lists, thank you and acknowledgement letters, etc.
  • Assist with preparing and maintaining budgets, including processing of purchase orders, expense reports, and invoices.
  • Ensure office policies and procedures are implemented appropriately.
  • Manage office supplies inventory and place orders as necessary

Liaison to Board of Directors

  • Arrange logistics for meetings as needed including room and technology reservations—i.e. schedule meetings, send invites, forward reports, etc.
  • Maintain and update board and committee information as needed, including masthead
  • Take official minutes at monthly board meetings in place of board secretary
  • Qualifications
  • Two (2) to four (4) years related experience required; administrative and/or non- profit experience preferred
  • Excellent written, verbal and interpersonal communication skills; ability to communicate clearly and succinctly with consideration to various audiences
  • Passionate personal commitment to social change and equity
  • Goal-oriented and highly organized self-starter who maintains high standards for
  • their own work and the work of others
  • High level of initiative and exceptional problem-solving skills
  • Strong collaborator who works well independently or on team projects
  • Proficient with technology—including Microsoft Word, Excel, PowerPoint, and
  • Outlook; Google suite software, and other web-based technology
  • Must possess demonstrable ability to manage multiple tasks and consistently
