Opportunity Summary

Young Audiences Arts for Learning (YA) seeks a motivated, hands-on professional who wishes to gain 360° exposure to YA’s programs and events. Working in collaboration with the Communications, Development, Finance and Programs departments, the Program and Events Associate will provide essential support for the execution and ongoing management of events and programs at YA. The position will be responsible for the coordination of YA programs and events, including managing logistics, communicating with stakeholders, conducting research and assisting with grant reporting and fundraising for programs and events. The ideal candidate is a highly organized professional, an excellent written and verbal communicator, with a deep enthusiasm for arts education.


Duties and Responsibilities

In conjunction with multiple departments, the Program and Events Associate will assist in the planning, administration (on and off-site), and fundraising for YA Programs and Events, which may include:

·        Assist with the administration of the TAC application and adjudication process

·        Serve as a liaison between sponsor contact and affiliate program staff and teaching artists to ensure the seamless execution of Jones Soda Residency, such as coordinating dates, assisting in planning, gather release forms, facilitating photo contest, coordinating sponsor and affiliate payments, and participation in the ongoing development and promotion of residency programs

·        Assist in the execution of YA’s annual National Conference, including coordination with event venue, ground transportation providers and host affiliate, expense tracking and correspondence with event presenters and attendees

·        Deliver essential support for the Affiliate Development Fund, Affiliate Support Fund and other grants programs at YA, including the preparation, collection and logging of applications, responding to affiliate questions, coordination of grants panel, creation and maintenance of awards database, drafting award and rejection letters, submission of requests for awards payments

·        Assist in the management and execution of the Emerging Leadership Program, including scheduling and attending conferences and meetings

·        Provide administrative support in the execution of the annual Leadership Forum, which may include communication with venue, affiliate attendees and presenters, tracking attendance and registration, preparation of attendee packets

·        Assist with the administration of our Learning Management System, creating accounts, managing cohorts, and updating courses

·        Curate and maintain the YA Network Resources Library within LMS

·        Assistance with other programs and events as necessary

·        Other duties as assigned


Qualifications

·        A Bachelor’s degree

·        3+ years of relevant experience in program and events management, ideally in a non-profit environment

  • Excellent time management, organization and professionalism.
  • Proven editing, writing, and research abilities; strong attention to detail.
  • Excellent time management skills and ability to juggle multiple priorities simultaneously.
