City Year is seeking an organized, dynamic, driven, and creative, Development Operations Coordinator who will lead social media campaigns, support events, marketing and communications, and operational systems to increase partnerships and financial commitments. This position supports the entire Development Department and creates the most efficient processes and systems to support fundraising growth. Reporting to the Managing Director of Development and working closely with the Development Team, the Development Operations Coordinator will have direct responsibility over 1) multi-channel marketing campaigns, (online events and potentially small in-person cultivation events) to achieve revenue goals and communicate CYSac’s mission and impact in the community, 2) marketing and communications working closely with the Managing Director of Development, and 3) operational systems to process and acknowledge donations and maintain accurate and robust information in a pipeline of prospective and existing donors and partners. Data systems include but are not limited to Salesforce, Power BI, and prospect research tools. The ideal candidate for this role will have prior project management experience, an entrepreneurial attitude, and a knack for solving problems. In addition, the ideal Development Coordinator thrives in a fast-faced work environment.Job Description

Responsibilities

Marketing and Communications:

  • Working closely with the MDD and Development Manager to organize, manage, and execute site-based marketing and communications strategies and calendars (e.g., monthly newsletter using marketo, social media, update CYSAC website,)
  • Monitor and conduct analytics on each strategy (newsletter, social media)
  • Other marketing duties as assigned in the Adobe Suite and Microsoft Publisher.

Operational Systems:

  • Create and maintain operational systems to support fundraising leveraging Salesforce, Power BI, and HQ operations teams.
  • Serve as the Development Operations point for regional trainings and calls
  • Enter donor notes and create tasks at pipeline meetings, maintain the integrity and quality of development data used in all aspects of donor sales cycle (prospecting, cultivation, gifts, etc.), and create fundraising opportunities.
  • Process all incoming donations and work closely with Gift Processing and Finance teams at Headquarters to ensure timely, accurate gift processing and donor acknowledgements.
  • Collaborate with Development team to identify potential donors and research donors and provide information to sales/fundraising teams.
  • Assist fundraisers in creating pledge agreement letters and send to donors; send invoices and pledge reminders as necessary.
  • Oversee the creation and distribution of donor acknowledgements such as thank you letters/emails, the site annual report, and acknowledgments on social media and site website.
  • Prepare and execute mailings, invitations, reports, and speaker briefings for Development team.
  • Performing regular record reviews, respond to inquiries, and resolve problems.

Event Planning:

  • Manage planning and logistics for Development-led multi-channel marketing campaigns and small events. Events include multi-channel marketing fundraising events, small social cultivation events, and potentially virtual and/or in-person events.
  • Collaborate with program staff to coordinate regularly scheduled virtual (and eventually in-person) school site visits for current and prospective donors.
  • Event planning tasks include managing event planning teams, logistics, program strategy, budgeting, marketing, and communications for the event.
  • Support Development Team in maximizing attendance and fundraising revenue.
  • Manage Qgiv to support events and school tours
  • Manage vendor relationships throughout the year, including audio visual, virtual platform, and catering companies, event venues, etc.

Organizational Initiatives:

  • The Development Operations Coordinator may also participate in training Ambassadors and/or an AmeriCorps Member committee to assist in event planning and production and engaging and stewarding champions in City Year’s work.
  • Staff members also assist with program and service initiatives throughout the year, including physical service events.
  • All staff members support AmeriCorps Member recruitment, including phone calls and interviews in the spring.
  • The Development Operations Coordinator will also be responsible for other duties as assigned by the Managing Director of Development.

Basic Qualifications

  • Project management experience in planning and executing complex, time-bound, logistical projects and events
  • Desire to continually learn new systems and processes to make operations efficient
  • Knowledge of marketing, event planning and communication best practices
  •  Outstanding planning skills – capacity to imagine, plan and implement
  • Strong interpersonal and communication (verbal and written) skills
  •  Excellent written, oral, and computer skills
  • Attention to detail, ability to take direction, and a commitment to quality work 
  • Prompt, flexible, willingness to learn and organized
  • Capable of working individually and on a team
  • Hunger to work at a fast-paced nonprofit
  • Commitment to service and passion for education
  • A Bachelor’s Degree or equivalent work experience preferred
  • Comfortable with Microsoft Office, Adobe design and/or Canva, and project management products
  • Experience with fundraising operations, CRMs, and design tools.
  • Managing social media accounts - Facebook, Twitter, Instagram
  • Passionate about educational equity, social justice, and DBEI
  • Must be able to sit and work for long periods of time
  • Must be able to lift up to 20 lbs.
  • Driver’s license required
