Description

The Program Officer with EVGP Placement at Cultural Vistas manages inbound placement operations through customer service, administrative, compliance, and program support efforts.


Essential Duties and Responsibilities:

- Program Administration -

Manages the placement process from beginning to end for various inbound placement programs in collaboration with Program Director. Placement duties include:

  • ensuring host company contact and internship information is up-to-date in CARL, SalesForce, SEVIS, and other relevant tracking systems;
  • drafting and reviewing Training/Internship Placement Plans (TIPPs);
  • researching and screening new host company contacts;
  • providing editing support for participant materials (e.g. resumes, placement homework);
  • conducting applicant interviews and practicing interviews with participants;
  • updating placement status on daily basis
  • Takes a proactive and well-prepared approach to identifying and confirming appropriate new host companies based on program needs and balancing placement efforts across programs
  • Develops strong pitches to highlight individual participant strengths
  • Manages site visit coordination for placements and conducts site visits of host companies as needed and with a developing understanding of a budget
  • Participates in regular program team meetings to discuss specific placement and programmatic needs
  • Monitors deadlines and demonstrates regular follow-up in a time sensitive, client-focused, and multi-project work environment
  • Administrative tasks including, but not limited to: filing, scanning, applications and maintaining database and departmental tracking tools
  • Provides additional support for programming as needed

- Customer Service -

  • Provides direct and on-going client relationship management through education, assistance, and proactive communication to ensure meaningful opportunities and a seamless process
  • Provides superior customer service through phone/ e-mail/mail communications to all host companies and stakeholders
  • Assists as needed with events and facilitation for the purpose of maintaining host company relations and growing host company portfolio

- Program Development -

  • Develops and maintains advanced knowledge of best practices in business development and program administration, and stays abreast of visa regulation changes and requirements
  • Adheres Cultural Vistas policies and procedures as well as program-specific guidelines in order to properly represent Cultural Vistas
  • Develops and maintains industry knowledge by seeking out business networking events, educational workshops, classes, and related publications
  • Develops and maintains placement-related materials and resources to educate stakeholders about the programs and hosting interns and trainees;
  • Supports ongoing communication to all appropriate staff as it pertains to initiatives and new and existing business
  • Takes a proactive approach to improve business functions and workflow within the department and Korea WEST
  • Works in accordance with the mission, goals, values, and strategic direction of Cultural Vistas

Computer Equipment and Software Experience Required:

  • Must be proficient in Microsoft Suite products. Prior CRM experience such as SalesForce a plus.

Education and Experience Required:

  • Education: Bachelors degree required; Business, Communications, International Relations, Education, or other related degree preferred.
  • Years of Experience: Over 3 years of administrative, customer service, client relations management or program management experience required. Prior international and/or educational experience strongly preferred.

Physical Demands of Position:

  • Domestic and international travel may be required. Work on weekends, holidays, and evenings may be required.
