EXECUTIVE ASSISTANT / OFFICE MANAGER

The South Side Community Art Center is seeking an Executive Assistant / Office Manager to manage day-to-day operations at the Center. The ideal candidate will possess excellent, above-average communication and organizational skills. 

 

ADMINISTRATION: 

 

  • Support the Executive Director with general business and administrative needs   
  • Maintain the physical space, including opening and closing business 
  • Coordinate/maintain the SSCAC rental schedule  
  • Maintain the front desk and assume receptionist duties: answer calls, maintain voicemail inbox, greet guests and direct visitors in a professional and appropriate manner  
  • Handle customer inquiries and manage the organization’s “info” email  
  • Manage SSCAC shared calendars  
  • Act as a vendor liaison, develop relationships with outside vendors and provide vendor support   
  • Monitor and order office supplies and maintain inventory for the office/building  
  • Complete basic retail transactions (of books, etc.) 

ACCOUNTING: 

  • Process bi-weekly payroll for the team  
  • Track and record monthly expenses, as well as make general purchases including office supplies, cleaning supplies, etc.  
  • Liaise with the accountant as necessary 

 

 

 

 ADDITIONAL DUTIES: 

  • Special projects as assigned 
  • Problem-solve and provide possible solutions to challenging projects 
  • Routinely reassess priorities to proactively own workload   
  • Work as secondary client contact, as needed, with communities to enhance client  relationships for the Center 

QUALIFICATIONS: 

  • Experience in fine art, arts education, museum studies, art history, or other related areas 
  • Knowledge and understanding of modern and contemporary art 
  • Prior experience in office management, administration and/or personal assistance 
  • Strong organization, planning, problem-solving and time management skills 
  • Precise detail orientation 
  • Proficient in Microsoft 365 and Google Workspace 
  • Knowledge of accounting, data and administrative management 
  • Excellent communication and writing skills  
  • Ability to work on multiple projects simultaneously
