General Summary:  

General responsibilities of the LS Administrative Assistant at the Ramaz Lower School office include providing office support to the LS Office and supporting the Director of General Studies and the Director of Judaic Studies.

 

Principal Duties and Responsibilities:      

·      Support the efficient operation of the Lower School, in coordination with the Director of General Studies and the Director of Judaic Studies.

·      Manage academic data including class lists, learning management software, transportation lists, progress report submissions, etc.

·      Manage faculty supplies and ordering as needed

·      Coordinate events as directed by the Director of General Studies and the Director of Judaic Studies.

·      Answer phones

·      Maintain the Director of General Studies and the Director of Judaic Studies calendars; including scheduling and confirming all meetings and interviews daily and printing calendars

·      Schedule model lessons

·      Copy materials as needed

·      Enter pink notes and late notes, print dismissal, and oversee bus dismissal on a rotational basis.

·      Maintain LS student physical and digital files

·      Order classroom texts and supplies for all LS teachers

·      Serve as a backup and handle Faculty Absences communication as needed

Job Specifications

·      Work requires general knowledge of school policies, procedures, and operations as well as oral communication skills to perform administrative duties of moderate complexity, such as independently arranging meetings, responding to inquiries from faculty and parents, and assembling reports containing sensitive or confidential information.

·      Work requires ability to analyze moderately complex administrative details, such as planning and scheduling the work of others, analyzing internal processes and recommending or implementing changes to improve operations, such as supply changes.

·      Work requires a commitment to excellent customer service.

·      Work requires written communication skills to compose routine letters and to edit and proof correspondence and reports to administration, faculty, and parents.

·      Work requires ability to read and concentrate via computer data entry typing and proofreading – up to 90 % of the time.

·      There may be work which requires standing and walking for up to 40% of work time.  

Success Factors/Job Competencies

·      Time management – the ability to organize and manage multiple priorities

·      Computer proficiency with Microsoft Word and Excel

·      Excellent interpersonal and communication skills

·      Strong analytical skills and attention to detail
