The Center for Biological Diversity seeks a full-time Facilities and Administration Manager with our Operations Team for our Tucson, AZ offices. The Facilities and Administration Manager is responsible for office and facilities management at our Tucson campus.

General position overview: The Center’s Operations Facilities and Administration team provides a wide range of operational support for all Center staff. The team is responsible for overseeing the management, operation and maintenance of the offices and physical infrastructure that the Center owns and leases, and it manages the administrative operations within Center offices.

We seek a highly skilled and passionate Facilities and Administration Manager to join our Operations Program team. The position will join the busy, dynamic Tucson office (currently in the process of expanding) and perform essential duties in support of the Center’s mission by providing administrative and operational support and enabling fellow employees to function effectively and efficiently.

This position requires exceptional multitasking skills, excellent judgement and a good sense of humor. We are seeking an experienced professional manager ready to commit to our team long-term who is passionate about a career with a leading conservation organization. The Facilities and Administration Manager will be responsible for general office administration and facilities management, including logistical operations, reception, phone and mail services, accounts and expenses, building maintenance and overall staff support.

Main duties:

  • Coordinate overall administrative activities and promote a happy, safe and secure working environment;
  • Manage the reception area and ensure effective telephone and mail communications.
  • Ensure safety and security of offices and grounds.
  • Organize and maintain office areas and office equipment.
  • Oversee, order and organize all office-related supplies, furniture, appliances, and office equipment.
  • Supervise custodial and landscaping staff, and maintenance staff and vendors as necessary.
  • Operate and maintain facilities.
  • Answer phone and field inquiries from the public, media, members and vendors.
  • Orient new staff to building and systems.
  • Maintain Tucson Center vehicles.
  • Provide daily administrative support for Tucson staff.
  • Provide logistical support for annual all-staff retreat.
  • Purchase, track and stock inventory of office supplies and equipment.
  • Be a resource for local and national staff with questions about office set-up, printing, business cards, mailing and shipping.
  • Keep management informed by identifying and reporting on trends and proposing solutions to problems.

Essential qualities, qualifications and skills:

  • Bachelor's degree.
  • At least 3 years’ experience in office administration/ management or associate’s degree and equivalent experience.
  • Excellent verbal and written communication skills.
  • Commitment to constructive communication and cooperation, and demonstrated team/group work skills.
  • Ability to balance, manage and track multiple tasks and deadlines in a busy environment.
  • Commitment to accuracy. Self-motivated. Reliable.
  • Strong organizational and time management skills.
  • Project management and event-planning experience preferred.
  • Experience maintaining office equipment, buildings and facilities management experience strongly preferred.
  • Experience in non-profit or advocacy organizations preferred.
  • Excellent Microsoft Office, computer and internet skills.
  • Physical Demands: Must be able to move office supplies, equipment, stored objects, files and packages weighing up to 25 pounds throughout multilevel offices or during events.
