Established by Chief Curator and Executive Director Cheryl Haines in 2003, FOR-SITE is dedicated to the creation, understanding, and presentation of art about place. FOR-SITE’s exhibitions and commissions, artist residencies, and education programs are based in the belief that art can inspire fresh thinking and important dialogue about our natural and cultural environment.

FOR-SITE is seeking a part-time Administrative Manager and Curatorial Assistant who will report to the Executive Director. The selected candidate will work closely with both the ED and the Manager of Development + Communications to provide administrative support primarily in the areas of accounting, office organization, and programming. Key responsibilities include:

PROJECT AND PROGRAM MANAGEMENT - 40%

  • Develop and manage project and program budgets in consultation with Executive Director
  • Draft, execute and manage exhibition contracts, secure permits, and liaise with exhibition partners to facilitate project compliance and review processes
  • Additional responsibilities as assigned should this position become full-time. 

ORGANIZATIONAL OPERATIONS + FINANCIALS - 40%

  • In consultation with the Executive Director, liaise with Bookkeeper to maintain the financial integrity of all accounting functions, including: responsibility for accounts receivable and account payables; review of balance sheet; credit card management and reconciliation; issuing and tracking annual tax returns. 
  • Drafts annual budget in partnership with Executive Director, provides regular analysis, and supports reforecasting
  • Manage in-house information systems to include essential operational information, such as account usernames and passwords, keeping operational procedures and manuals up-to-date, keeping operations calendar, keeping organizational and corporate files, etc.
  • Manage and ensure compliance with ongoing COVID relief grants and applications
  • Manage annual renewals for all insurance policies
  • Responsible for facilities, office equipment, general office support and operations including IT support

HUMAN RESOURCES - 10%

  • Oversee & administer employee benefits plans e.g. medical insurance, pension and make recommendations for changes in benefit plans.
  • Manage organization’s human resources and operating systems, including payroll (administered by Bookkeeper), employee health benefits, and liability insurance. 
  • Serve as a resource to staff on human resource and benefit issues; ensure compliance with all legal human resources requirements. Maintain confidential personnel files.

COMMUNICATIONS + DEVELOPMENT - 10%

  • Provide financial information, budgets, and general support for grants applications and bi-annual board meetings; in coordination with Manager of Development + Communications, manage grants and donation compliance
  • Website / Social media support as needed
  • Additional Communications and Development support as needed

DESIRED QUALIFICATIONS

  • 5+ years experience in nonprofit administration, arts or creative organizations preferred
  • Bachelor's degree in related area of study (i.e. fine arts, visual arts, public art, arts administration, art history) preferred
  • Strong financial and non-profit accounting acumen, including experience developing and managing organizational and project budgets; expertise with QuickBooks and/or standard accounting practices
  • Strong organizational skills with ability to prioritize multiple tasks simultaneously to meet deadlines
  • Competency with Mac OS, Microsoft Office Suite, Google Workspace, Dropbox, QuickBooks, database management, and the Adobe suite 
  • Experience with IT and the ability to design and implement organizational systems using available technology
  • Excellent oral, written and listening communication skills
  • Ability to work both independently, and collaboratively as part of a team
  • Highly organized with a superior attention to detail; a creative thinker with strong problem solving abilities
  • Knowledge of contemporary art, artists, and institutions, both local and global, will be given preference


COMPENSATION

Role is part-time. Estimated time commitment 20 hours per week currently, with possibility of full-time once we resume full operations. Currently remote, but candidate should be based in the San Francisco Bay Area with ability to travel to San Francisco office. Meetings as necessary via Zoom and in person as COVID-safety restrictions allow. Salary/hourly rate commensurate with experience.
