We are proud of our Staff of approximately 200 dedicated individuals, working from our national office in New York City as well as home offices across the county, who collaborate with our more than 4,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include: immersion based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educator, schools and businesses.

SUMMARY/OBJECTIVE:

 AFS-USA manages a number of programs of the U.S. Department of State, Bureau of Educational and Cultural Affairs (ECA), which provide scholarships for adolescents to participate in international exchange programs. One of these programs is called the Kennedy-Lugar Youth Exchange and Study (YES) Program www.yesprograms.org. The Sponsored Programs department at AFS focuses on maintaining relationships with the funder and incorporating the sponsored programs into overall AFS programming. The YES Participant Support Specialist will work most closely with another YES Participant Support Specialist and the Manager of Inbound Sponsored Programs.

Core responsibilities of the role include program reporting, as well as coordination of participant support communications among key stakeholders within AFS-USA, key collaborating organizations and the funder, the U.S. Department of State. The Specialist will collaborate with team members to coordinate program-specific travel and logistics and develop and lead content during student orientations.

ESSENTIAL FUNCTIONS:

YES Participant Support Specialist’s primary responsibilities include:

  • Coordinate with participant support staff to facilitate the communication of participant support issues to program funder and collaborating organizations, as appropriate. Develop and report on trend analysis and provide feedback to cooperating organizations, as appropriate, to suggest program improvements or adjustments.
  • Maintain accurate, timely, and up-to-date case files, and ensure that complete documentation is obtained and recorded in all cases.
  • Provide quarterly reporting on program progress, write program impact stories and provide other program specific input as needed for program management and analysis and internal and external visibility purpose. 
  • Implement, collect and analyze surveys that monitor on-program participant adjustment as well as analysis of other participant support data to improve program materials, training and inform reporting.
  • Act as a YES program resource for host families, students, volunteers, and staff, including periodic host family and school visits.
  • Coordinate program-specific logistics as needed, including general planning and implementation, participant travel, event and orientation planning and onsite coordination. This includes arrivals orientations (up to 4 per year), departure orientation and organization-wide training event.
  • Contribute to other projects and initiatives as needed.
  • Periodic oversight of seasonal staff or interns as needed.

 EDUCATION AND EXPERIENCE:

·        Bachelor’s degree required.

·        2-4 years of experience in international educational exchange field or equivalent.

·        Experience or a high level of comfort in an intercultural setting

·        Training and or teaching experience and skills strongly desired

·        Counseling or conflict management experience strongly desired

 CRITICAL SKILLS:

  •  Ability to work collaboratively in a team environment on the majority of tasks
  • Proven ability to multitask and prioritize ongoing responsibilities
  • Superior oral and written communication skills
  • Excellent organizational and time-management skills
  • Keen attention to detail in all forms, especially written
  • Ability to handle emotionally intense situations and maintain calm under pressure           
  • Ability to work independently with multiple deadlines in a fast-paced, fluid environment

WORK CONDITIONS:

  •  The YES Participant Support Specialist works in AFS-USA’s NY office (preferred), U.S. remote considered. Office hours are 9:00am–5:00pm. Ability to work extra hours on evenings and weekends during peak periods and critical events.
  • Requires travel up to 10% time and work on some nights and weekends.
