Job Title:            Program Coordinator and Commercialization, Outreach Coordinator

Classification:   Regular, full-time (1.0 FTE), non-exempt

Reports To:       Senior Manager Programs and Communications, Senior Director of Commercialization and Outreach

***Due to COVID-19 this role is currently working remotely. Once the CleanTech Alliance office reopens, this role will have onsite responsibilities in downtown Seattle.***

About CleanTech Alliance:

The CleanTech Alliance represents over 1100 member organizations spanning ten U.S. states and three Canadian provinces. The Alliance facilitates the generation and growth of cleantech companies and jobs through a variety of educational programs, research, products and services. CleanTech Alliance members come from all facets of the clean technology industry sector. A diverse membership allows the CleanTech Alliance to drive impact via the generation of cleantech jobs, and growth of products and services to advance the cleantech economy.


Program Coordinator Principal Duties and Responsibilities:

This position provides operational and administrative support to the CleanTech Alliance. The position is responsible for executing all assigned tasks regarding communications, database, website, event registration, and facilities for the CleanTech Alliance. Duties include, but are not limited to:

Event Planning: 45%

·       Provide administrative support for meetings, events, event series and conferences.

·       Support event committees and planning groups as needed.

·       Identify and secure venues or organize online platforms or streaming and AV as required.

·       Prepare RFP forms, gather RFPs and speaker materials.

·       Develop and implement event marketing plans.

·       Ensure database registration is accurate and complete.

·       Coordinate committee and event volunteers.

·       Report on and assist with registration payments and refunds as directed.

·       Assist with caterers, on-site and online logistics and other day-of-event operations.

·       Edit recordings of events, follow-up post-event with speakers, gather reports for sponsors.

Communications 45%

·       Write and edit electronic communications, including emails, electronic newsletters, infographics, and promotional materials.

·       Maintain website page structure, events and community events boards, news articles, and post to the website as directed.

·       Prepare briefings, info graphics, and proofread content, letters and publications as directed.

·       Manage database tasks as assigned, ensure records are accurate and complete, provide reporting as directed, and log communications with members as directed.

·       Post social media content; engage with members and prospects; post and market events and news; monitor and report on traffic and engagement.

·       Ensure compliance with CleanTech Alliance brand standards.

Administrative: 10%

·       Maintain organized company SharePoint and OneDrive file repositories.

·       Maintain company online video file repository.

·       Provide support for other committee and board meetings as directed.

·       Data entry to support the organization as directed.

·       Perform other duties needed to ensure a smoothly functioning office and organization.


Commercialization and Outreach Coordinator Principal Duties and Responsibilities:

This position provides operational and administrative support to the CleanTech Alliance in fulfilling its mission, focusing on membership and commercialization programming. Duties include, but are not limited to:

Commercialization Event Planning 40%

·       Provide administrative support for meetings, events, event series and conferences.

·       Support event committees and planning groups as needed.

·       Identify and secure venues or organize online platforms or streaming and AV as required.

·       Prepare RFP forms, gather RFPs and speaker materials.

·       Coordinate event marketing plans with the communications team.

·       Ensure database registration is accurate and complete.

·       Assist with tracking participant metrics and results including but not limited to, funding, jobs retained or added, other program participation and partnerships.

·       Provide database support to maintain records for our entrepreneurial support network.

·       Support communication and marketing about program and alumni updates as directed, and coordinate with the communications team.

Membership Administrative Support 40%

·       Maintain accurate and complete membership records in our membership database. 

·       Build and update membership reports as directed.

·       Coordinate with the events team to ensure membership benefits and event attendance records are accurate and complete.

·       Execute membership and prospect contact and outreach campaigns.

·       Coordinate membership opportunities and news updates with the communications team; assist with sourcing content.

·       Create invoices and manage data entry for accounts payable as directed.

·       Route member inquires to staff as needed, and aid with the members-only sections of our website.

·       Provide administrative support for our annual meeting, Board, and Committee meetings as directed.

·       Support CleanTech Alliance awards programs as directed.     

Grants and Sponsorships 10%

·       Coordinate collateral and prospectus information with the communications team.

·       Coordinate sponsorship outreach, to include email campaigns and tracking responses. 

·       Provide administrative support for project records on sponsorship program progress and outcomes.

·       Coordinate meetings and reporting for grants and grant partnerships.

·       Track metrics, reporting, and manage calendar due dates to assist in managing grants as assigned.

Administrative: 10%

·       Maintain organized company SharePoint and OneDrive file repositories.

·       Maintain company online video file repository.

·       Provide support for other committee and board meetings as directed.

·       Data entry to support the organization as directed.

·       Perform other duties needed to ensure a smoothly functioning office and organization.


Qualifications:

·       Strong customer service ethic and commitment to highest customer service experience.

·       Demonstrated problem-solving ability and ability to generate and complete tasks with minimal supervision.

·       Strong organizational and administrative skills; excellent oral and written communications skills.

·       Flexibility, ability to work under pressure and to prioritize and manage multiple projects.

·       Demonstrated critical thinking and decision-making skills, team player.

·       Strong computer skills, with demonstrated competency in:

o  Data entry and database maintenance, including generating reports.

o  Mass mail platforms, Constant Contact preferred.

o  Smartsheet.

o  Microsoft Office Suite.

o  Zoom or other online hosting platforms.

o  Website experience with WordPress and HTML experience preferred for the program role.

o  Video Editing preferred for the program role.

o  Social Media platforms, including Linked in, Twitter, Hootsuite, Vimeo preferred for the program role.

·       Bachelor’s degree or equivalent experience in environmental science, economics, public relations, communications, business, or a related field.
