Position Title: DATABASE MANAGER

 

Reports To: VP, Development, Alumni Relations & Communications

 

Position Summary: This role is an integral part of the development and alumni relations team. The Manager keeps the database current, accurate, and used to its fullest capabilities for research and reporting; ensures the integrity of our gift processing, acknowledgement system, and revenue reporting. The Manager will be responsible for documenting and implementing processes and procedures under his/her purview.

 

ESSENTIAL FUNCTIONS:

 

Gift Entry & Acknowledgments: Receive and enter all gifts into database with appropriate coding; manage check, credit card, stock and online donation processes. Collaborate with the Development Associate in setting up acknowledgement letters for editing, and ensure Raiser’s Edge is updated with acknowledgement completion and date. Manage the department's hard copy and electronic donation files.

 

Revenue, Reporting & Reconciliation: Convey all cash, checks and credit card receipts to the Finance Office on a timely basis. Complete monthly reconciliation reports. Work closely with the Finance Office on reconciliation to insure accurate recording of the office’s fund-raising income and expenses on a regular basis. Provide reports and other data to the Finance Office in compliance with IRS requirements. Generate pledge reminders. Prepare and confirm Annual Report Listings. Provide support and backup to fiscal department for annual audit

 

Budget Support: Process and track all department invoices against agreed budget. Provide monthly expense report

 

Database Management & Reporting: Manage all aspects of Raiser's Edge database, maintaining its accuracy and integrity including continuous updates and corrections as necessary. Update existing legacy data for NXT. Create records for alumni who have recently departed International House. Manage data transfer between StarRez, everydayhero, BBMS, online express and Raiser’s Edge platforms. Maintain records in Raiser's Edge database and provide reports on prospects, donors, alumni, giving and events. Create all queries, reports and lists needed to support development activities of the Development & Alumni Relations Office. Provide weekly/monthly reports for status in appeals, campaigns, annual fund and alumni relations management

 

Special Projects: Collaborate and support the next phase of database expansion with the ultimate goal of generating a longitudinal study on International House alumni. Support the development of a prospect management system for individual giving that proactively identifies new prospects through data-mining projects including wealth screenings to help ensure robust prospect pools. This requires adapting Raiser’s Edge to accept uploaded information into the proper fields for ease-of-use and streamlined reporting. Provide Raiser’s Edge training to staff as needed. Support ‘day of’ special events.

 

QUALIFICATIONS:

  • 4-year College degree
  • Three to four years of Raiser's Edge experience or other relevant development databases
  • Responsible person who takes pride in managing database
  • Strong interpersonal skills, as well as experience working on teams
  • Preference for experience with alumni relations, annual giving, special events and constituent relations
  • Superb communication skills, both verbal and written
  • Highly organized and able to prioritize tasks
  • Extraordinary attention to detail
