We have an exciting opportunity for a Publications Assistant to join Science Editorial.

This Publications Assistant provides support to the editors of AAAS’ six peer-reviewed journals as manuscript submissions move through the stages of review and revision. Assistants facilitate different levels of contact between authors, reviewers, and editors in order to ensure the completion of forms and reviews, and they are expected to prioritize inquiries from all three parties. As the initial point of contact in the Editorial Department, assistants filter requests, handle administrative tasks, and answer inquiries (helping authors and reviewers troubleshoot within AAAS’ online Submission & Information Portal). Assistants check revised manuscript files to ensure they meet journal standards and enforce deadlines in order to keep the editorial workflow running smoothly.

What You’ll Do  

  • Work independently communicating with authors, reviewers, editors, staff, and others to address questions and problems through every stage of manuscript  
  • Processing from new submission through review, revision, and to final acceptance
  • Work in highly collaborative teams to identify and address novel problems to achieve goal of developing effective and efficient journal processes aimed at best  
  • Serving needs of authors, reviewers, editors, and internal stakeholders  
  • Attend editorial team meetings both in the AAAS offices and online   
  • Provide back up assistance to other areas of editorial when needed  
  • Other Special Tasks/Projects   

Minimum Qualifications   

  • Bachelor’s Degree in English or a science-related discipline   
  • 1-2 years of experience working in a professional setting 
  • Experience handling manuscripts (ideally technical or scientific texts) through publication processes under tight time deadlines  
  • Proven expert knowledge of English grammar, style, and syntax 
  • Very strong professional writing and verbal communication skills   
  • Strong organization, multitasking, time management, and conflict resolution skills   
  • Strong skills in identifying, communicating, and addressing novel problems needed to address manuscript processing under deadline   
  • Strong ability and skill to working independently coupled with strong ethic for teamwork and collaboration when needed, necessary for working in small, highly cross-functional team   
  • Eagerness for developing new knowledge and skills related to job duties  
  • Strong working knowledge of MS Office and Adobe software  
  • Proven ability to adapt to new tasks, workflows, and tools in changing organizations environment
