The Admissions Coordinator/Assistant to the Director of Academic Affairs holds a key front-desk position and will often represent a visitor’s first impression of Freire. The ideal candidate supports the mission of the school, is outgoing and friendly, and enjoys daily interactions with students and their families.

The Admissions Coordinator/Assistant to the Director of Academic Affairs will support a variety of essential school functions, including but not limited to admissions, college counseling, school records, and after school programming. This 12-month position requires excellent organizational, communication, and interpersonal skills, as well as the ability to manage multiple tasks simultaneously.

Essential Duties and Responsibilities:

  • Admissions
  • Be the face of admissions and the first point of contact for all prospective students and families
  • Maintain the admissions database and keep track of student records. This includes processing student enrollment packets and collecting all necessary documents from prospective families
  • Lead admissions presentations at local middle schools
  • Attend city-wide school fairs and market the Freire Schools
  • Answer communications from families around admissions deadlines and requirements
  • Prepare and process enrollment packets received from families through the lottery or regular wait list pulls
  • Create, process, and send mailings to prospective families throughout the school year with important admissions information
  • Lead the annual Admissions Lottery at Freire Charter High School
  • Track overall school enrollment numbers and conduct student wait list pulls as needed
  • Maintain physical student records
  • Student Transcripts & Withdrawals
  • Upon request, generate student transcripts from PowerSchool
  • Process all student withdrawals and related paperwork
  • Send necessary student documents to receiving school
  • Collect student books and other deliverables upon leaving Freire Charter School
  • Update PowerSchool with student transfer information
  • Summer School
  • Order and track summer school packets
  • Create summer school schedule with help from the Director of Academic Affairs
  • Process and mail completed packets to grading house
  • Update student grades in PowerSchool and mail final grades home to families
  • Textbooks
  • Maintain school-wide textbook inventories
  • Assign books to classrooms and students
  • Order new books and maintain school “library”/storage of textbooks
  • Track student fees in PowerSchool for unreturned books and other materials
  • Process senior dues
  • Other tasks as assigned


Preferred candidate qualifications:

  • BA/BS and experience working with youth preferred
  • Excellent written, verbal, and interpersonal skills
  • Strong analytical skills and keen attention to detail
  • Ability to complete projects in a timely manner and adhere to numerous deadlines
  • Demonstrates flexibility and maintains confidentiality
  • Sets priorities and works in a highly organized and efficient manner
  • Professional, personable and welcoming to all constituencies
  • Willingness to perform various tasks as needed in support of the extended Freire community
  • Advanced Microsoft Office skills, including Word and Excel
  • Familiarity with databases
