Serves as the lead editor for critical legal/policy and procedures documents; using established guidelines, creates, edits, proofreads, formats and troubleshoots records to ensure end products are accurate, cohesive, grammatically correct, and are of high, professional quality. Researches data and information to reinforce the accuracy of various reports and special projects. Provides senior administrative support involving complex, technical and often confidential work for the Operations Manager and for the Operations Manager, and for The Salvation Army constituency the Department serves. 

Reads, assimilates and analyzes extensive meeting minutes, proposals and recommendations from many national groups. Evaluates and formats Salvation Army national minutes, policies and procedures, manuals and guidelines using professional, technical editing processes.

Combines Word, Adobe PDFs, Excel, graphs, PowerPoint, Web-based links etc., into cohesive contents. Prepares and maintains the files/records of all minutes from national groups, and related materials. Develops and maintains electronic and manual files on a variety of correspondence, records, reports, templates, and documents; utilizing the bring-up filing system.

Updates the Commissioners’ Conference Minutes Guidebook and Minutes Orientation presentation which instructs national groups on how to write meeting minutes, national policies and procedures and other technical documents. With the Commissioners Conference Operations Manager, provides brief orientation sessions on general protocols for writing such materials.

Researches, complies, interprets, and summarizes information for various reports and special projects; researches files, records, etc., to resolve problems and/or correct documented information.

Communicates with Salvation Army personnel to ensure receipt of all necessary information for the proper processing of minutes, correspondence, agreements, resolutions, manuals, etc. Responds to in-person, video conference or telephone requests/inquiries about the Commissioners’ Conference process and its documents from both internal and external Salvation Army clients.

Education and Experience:

Bachelor’s degree or at least seven years’ experience of performing a variety of progressively responsible administrative and technical support, administrative support and training in and office environment.

Excellent editing, proofreading and technical writing skills; highly proficient in the English language. Professional business communication acumen, both oral and written. Exceptional organization skills; maintaining an efficient and organized filing system.   

Experience with database management and research skills both with files and on the internet.

Excellent interpersonal relations skills. Strong sense of initiative and work ethic, and pursuit of process improvement. Strong sense of urgency and responsibility in managing the workload and meeting competing deadlines.

Ability to teach and train in a clear, effective and inclusive manner. Ability to operate various general office equipment to include telephone, computer, scanner, smart copier, video conference equipment and calculator.

Solid computer and database skills including proficiency with electronic messaging, Excel, Adobe Acrobat with advanced skills in Microsoft Office Suite (tables, sectioning/pagination, inserting objects/pictures/full reports, tracking).
