The Organization

Foundation for a College Education (FCE), located in East Palo Alto, California, is a nonprofit organization that offers a comprehensive college access and success program. The mission of FCE is to increase the number of students of color from East Palo Alto and similar communities who graduate from a four-year college or university.

Founded in 1995, FCE’s mission is to increase the number of students of color from East Palo Alto and similar communities who graduate from a four-year college or university. The vision of FCE is to create a community where higher education is attainable. By engaging both students and parents in our work, we aim to create a community of learners who are armed with the right tools and information. Our core values define the ways we help our students and their families empower themselves to reach their full potential. These core values also guide the way we work at FCE.



The Position

The Development & Office Associate is a regular, full-time, exempt, hourly employee. The position reports to the Director of Development.

The Development & Office Associate is the first point of contact for students, families, board members, donors and others who visit FCE in person or via telephone or email. The Development & Office Associate must be a warm, welcoming, and helpful resource to all.

In a development capacity, the Development & Office Associate works with the Director of Development and the Executive Director providing administrative and organizational support on fundraising and outreach activities that support the students, mission, and staff of Foundation for a College Education. The Development & Office Associate works on a variety of activities related to fund development, communications, and special events. 

In an organizational support capacity, the Development & Office Associate is responsible on a daily basis for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the Executive Director, Director of Programs, and the Director of Development. The Development & Office Associate is a member of the administrative team, which includes the Executive Director, Director of Programs, Director of Development, and Program Staff. The administrative team works together to provide high quality and timely support to the work of the organization.


Roles and Responsibilities

A.    Fund Development (55%)

·      Maintain donor database (currently Arreva’s ExceedBeyond)

o  Track and acknowledge all appeals, donations, receipts, and reports

o  Update donor content

o  Generate reports as requested


·      Manage and maintain donation websites and donation-related vendor relationships

·      Coordinate fundraising appeal campaigns

o  Generate solicitation and acknowledgement letters

o  Plan and coordinate solicitation packets for donor liaisons


B.    Office Coordination (25%)

  • Maintain organizational and space use calendars
  • Develop, implement, and maintain efficient office systems
  • Maintain office equipment
  • Support organizational functions and general meetings
  • Responsible for incoming and outgoing mail, shipping, and receiving
  • Maintain appearance and functionality of common spaces
  • Manage office supplies and maintain storage areas
  • Support outsourced IT vendors: monitor staff needs, assist staff with problem solving, assist IT staff as requested
  • Support for Human Resources: interview schedule, applicant pool, resume files, orientation, etc.
  • Manage FCE organizational email and Dropbox accounts


C.    Communications (10%)

·      Support creation, production, and mailing of FCE Donor Report newsletters

·      Support creation, production, and emailing of electronic bulletins

·      Update FCE and external donation websites on a regular and as-needed basis

·      Support social media strategies and content

·      Ensure up-to-date email contact information and group lists


D.    Special Events (5%)

·      Support FCE’s annual gala, March to Success: event-specific software (currently GreaterGiving), ticketing websites, databases, event set-up, attendee registration, volunteer training and supervision, event tear-down, reconciliation

·      Support creation, production, and distribution of invitations and event-related communications

·      Support donor appreciation and new donor events


E.    Executive Assistance (5%)

·      Provide administrative support to Senior Staff and the Board of Directors

·      Support monthly Board of Director meetings, retreats, and orientation


F.     Other Duties as Assigned


Qualifications

·      Proficiency in using Exceed, GreaterGiving, or similar donor CRM software

·      Proficiency in using social media software and applications

·      Proficiency in using Microsoft Office Suite

·      Proficiency in using WordPress or similar website content software

·      Excellent organizational and time-management skills 

·      Excellent attention to detail and follow-up skills

·      Excellent communication skills with demonstrated ability to speak and write clearly and persuasively

·      Ability to work in an inclusive, collaborative, small-office environment

·      Ability to maintain confidentiality

·      Willingness to assume additional duties as necessary and appropriate


Compensation

Salary is based on the 2019 Compensation & Benefits Survey from Fair Pay for Northern California Nonprofits, and is $50,000. The following benefits are included with the position: health insurance, vision coverage, dental coverage, disability insurance, life insurance, and a flexible spending account. In addition, there are 13 paid holidays, 12 vacation days in the first year of employment, and 6 sick days.
