TITLE: Vice President, Finance & Operations 


REPORTS TO: President & CEO


BASIC FUNCTION: The Vice President, Finance and Operations (VPFO) is part of the Senior Management Team and responsible for Nonprofit New York’s operations, including financial management, administrative functions, communications, marketing and technology. The VPFO works closely with the President & CEO to set the annual budget, develop and implement policies and procedures for both finance and general operations, and engage in strategic planning. The VPFO also provides leadership, supervision and support to direct reports and all staff as necessary.

KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:


Leadership

  • With the President & CEO and Senior Management Team, contribute to development and implementation of the strategic plan and share expertise, vision and data on other issues of organizational importance.
  • Advise the President & CEO on current and future priorities, operational strategies, and organizational structure and infrastructure necessary to carry out Nonprofit New York’s programs and mission.
  • Support all staff with communications, professional development, and team-building.
  • With the Senior Management Team, promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
  • Work with the President & CEO and Senior Management Team to inform the Board of Directors and various committees about the day-to-day work of the organization.
  • Participate in all-staff meetings and retreats.


Financial Management

  • Work with the President & CEO, Financial Consultant, and all staff to set the annual budget and monitor the budget projections to actual expenses and revenue throughout the year.
  • Advise the President & CEO and Senior Management Team on financial planning, budgeting, cash flow, and fiscal policy matters. 
  • Serve as management liaison to the Board’s Audit Committee.
  • Communicate and present critical financial matters at select Board and committee meetings.
  • Oversee cash flow planning and regularly communicate with staff around the availability of funds as needed.
  • Lead staff through quarterly review of financials, including monitoring budget projections to actual expenses and revenue.
  • Ensure legal and regulatory compliance regarding all financial functions.
  • Collaborate with and oversee the work of Financial Consultant.
  • Manage the annual 990 and audit processes. 


Human Resources

  • Provide strategic visioning and management of recruiting, retention, and professional development.
  • Supervise maintenance of personnel records, benefits plans, and payroll.
  • Liaise with Paychex PEO to ensure legal and regulatory compliance regarding all HR functions. 
  • Establish and monitor the staff performance review process.
  • Mentor and develop all direct reports as needed using a supportive and collaborative approach: assigns accountabilities; establishes priorities, and monitors and evaluates results. 


Technology

  • With the internal Tech Task Force, analyze Nonprofit New York’s technology infrastructure; develop, oversee, and implement IT planning to meet tech needs as Nonprofit New York and our programs evolve.
  • Liaise with IT Consultant to oversee tech, computer network, and security systems.
  • Liaise with Salesforce implementation partner to oversee effective use of Salesforce database.
  • Collaborate with staff on website updates and maintenance in collaboration with external website developer.


Communications

  • Contribute to development and implementation of communications and marketing strategies.
  • Ensure consistent and effective use of the Nonprofit New York brand and identity.


Operations

  • Supervise the Office & Events Associate.
  • Manage day-to-day operations of Nonprofit New York.  
  • Manage the organization’s physical infrastructure and system maintenance.
  • Engage in risk management, including business continuity planning, insurance needs, and other risk assessments.
  • Ensure that Nonprofit New York’s legal interests are protected, in coordination, with pro bono legal counsel.
  • Oversee office space, equipment and supplies, and liaise with our landlord as needed.


And additional duties as agreed to with Nonprofit New York’s President & CEO.


QUALIFICATIONS: 

Skills & Experience

  • 7-10 years of work experience in a similar role
  • Strong writing and presentation skills
  • Demonstrated understanding of the role that racial inequity plays in our society and its impact on institutions
  • Salesforce experience a plus
  • Knowledge of Asana a plus
  • Knowledge of G-Suite a plus

SALARY: $85,000 to $100,000 per year, commensurate with experience. Excellent working environment and generous benefits (health insurance, dental, vision, vacation, sick, holidays, 401k retirement with 5% match contributions).

PHYSICAL DEMANDS: This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer. We anticipate that this position will be remote until September 2021.
