POSITION DESCRIPTION:

Professional-Technical Level 6

$74,110 per year                                                                             


SUMMARY:

The job of Administrative Assistant is done for the purpose/s of providing administrative and secretarial support to assigned administrative personnel; coordinating activities of assigned administrative personnel; ensuring compliance of activities under area of responsibility with financial, legal and administrative requirements; and providing information, recommendations and/or direction as may be requested by assigned administrator. The Business Services Administrative Assistant reports to the Associate Superintendent of Business Services.


ESSENTIAL JOB FUNCTIONS:

  • Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements.
  • Composes documents (e.g. correspondence, bulletins, reports etc.) for the purpose of documenting events, providing and/or requesting information.
  • Maintains confidential records and information.
  • Coordinates a variety of programs and/or activities (e.g. committees, task assignments, meetings, workshops, travel and accommodations, etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance with established guidelines.
  • Provides broad administrative support to division directors such as the Director of Business Services &  Director of Communications;
  • Provides back up for P223 enrollment reporting and data compilation under the direction of business & financial services leaders.
  • Manage  and perform Resource Center staff security access and distribution processes.
  • Evaluates situations (e.g. involving other staff, students, parents, the public, police, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Maintains documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Monitors fund balances of assigned programs and related financial activity for the purpose of ensuring expenses are within budget limits and/or fiscal practices are followed.
  • Prepares written materials (e.g. reports, memos, letters, purchase orders, etc.) for the purpose of documenting activities providing written reference and /or conveying information.
  • Processes documents and materials for the purpose of disseminating information to appropriate parties.
  • Researches a variety of topics (e.g. reports, memos, letters, purchase orders, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  • Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or direction.
  • Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.


KNOWLEDGE, SKILLS AND ABILITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS:


  • Effective written and verbal communication skills.
  • Proficient in MS Office software, including Word and Excel
  • Ability to multi-task and prioritize work to ensure deadlines and legal requirements are met.
  • Ability to work with large quantities of complex data and maintain thorough and accurate information.
  • Ability to collaborate and team effectively with others to accomplish the work of the District.
  • Ability to effectively use critical and analytical thinking in problem solving.
  • Ability to develop systems in order to enhance and improve the delivery of services.
  • Ability to exercise a high degree of confidentiality in all manners.


Education and Experience: 

·      High School diploma or equivalent.

·      Four years job-related experience with increasing levels of responsibility or an AA degree and two years of job-related experience with increasing levels of responsibility.

Responsibilities and Working Environment:

Generally, the job requires 80% sitting, 10% walking and 10% standing. The job is performed indoors under minimal temperature variations, a generally hazard free environment. The usual and customary methods of performing the job’s functions requires the following physical demands:

  • Frequent reaching, handling, fingering and/or feeling
  • Occasional lifting, carrying, pushing and/or pulling.
  • Seldom climbing and balancing
  • Seldom stooping, kneeling, crouching and/or crawling.
