Position Summary:

UJA Young Leaders is UJA-Federation of New York’s umbrella community for individuals in their 20s and 30s. Throughout the year, UJA Young Leaders provides more than 150 opportunities for involvement, including community programs, volunteer projects, career-specific programs, overseas travel, leadership positions and content-rich experiences. UJA Young Leaders provides New Yorkers the ability to make a positive impact in New York, in Israel, and around the world.

UJA Young Leaders seeks a proactive, self-motivated, and flexible Development Assistant to provide essential administrative support to the division’s efforts to help grow a new generation of Jewish leaders and philanthropists. The activities of this division are fast-paced and high energy; therefore, this role requires a team-player with the ability to multi-task, trouble-shoot, and be a forward-thinker.

The responsibilities detailed below are written with an eye to our normal operating environment. Currently, most events and programs that the Development Assistant will support are virtual and not in-person.

Major Responsibilities:

  • Provide support to team across events, programs, campaign and donor engagement opportunities, as well as for ongoing and occasional FRD initiatives.
  • Use fundraising database to process gifts and payments, manage event registrations, run giving lists/reports, and track attendance at meetings, events, programs, and trips.
  • Work with UJA Young Leaders colleagues to plan and prepare necessary materials for internal and external meetings, programs, events, and trips, including logistics and supplies.
  • Provide support before, during and after UJA Young Leaders meetings, events and programs. This may include working registration, collecting payments, distributing literature, and helping with set up/tear-down.
  • Maintain UJA Young Leaders calendar, materials, and microsite, coordinating with colleagues on content updates, event listings, photos, and other matters requiring attention.
  • Address inquiries from donors, lay leaders, and outside vendors. Screen calls and respond to situations as appropriate, corresponding with donors and professionals as independently as possible.
  • Perform general administrative duties such as ordering supplies, paying invoices, processing expense reports, requesting materials and arranging food and room requests.
  • Attend trainings on office systems and procedures to stay up-to-date on those systems and procedures, serving as a resource to the team on them as needed.
  • Act as office manager for the department and ensure the administrative space is organized and maintained.
  • Various projects as assigned.

Qualifications & Competencies:

  • Bachelor’s degree.
  • Proficiency with Microsoft Office 365 (Excel in particular) and database management.
  • Excellent organization and administrative skills and an ability to understand systems and procedures.
  • Detail-oriented, effective time manager, with the ability to multitask in an extremely fast-paced work environment.
  • Excellent written and verbal communication skills.
  • Experience and comfort in using remote work tools such as Zoom and Microsoft Teams.
  • Flexible and proactive self-starter with strong interpersonal skills.
  • Interest in fundraising, philanthropy and events management.
  • Positive work ethic and ability to work as part of a team.
  • Flexibility to work at events and programs when required, which may be outside of normal business hours.
