The North East Community Center is seeking a full time Administrative Assistant to support its organizational functions. The successful applicant will join a spirited and highly committed staff in support of the Center’s mission.


The North East Community Center is the premier social service organization in eastern Dutchess County, NY. Almost 30 years old, its mission is to strengthen community through social service, educational, cultural and recreational programs for toddlers through seniors. Its board of directors is comprised of 13 extraordinary volunteers from the area and it has a staff of over 30 full- and part- timers. The organization has two offices on South Center Street in Millerton next to its newly renovated public playground for toddlers. The Center manages an After School Program at Webutuck Central School District in Amenia. The culture of the organization is one of collaborative teamwork totally dedicated to improving the lives of its constituents.


The Administrative Assistant is a new full-time position that supports the work of 3 senior executives: Administrative Director, Director of Programs and Executive Director.  The Administrative Director will serve as the primary contact to arrange priorities.


Responsibilities of the position include the following:


Office management:

  • Serve as first point of contact for callers, visitors, online inquiries
  • Daily mail pickup, posting, bank deposits
  • Schedule use of main room and secure rental agreements, security deposits and payments
  • Orders office, building, cleaning supplies, keeping them well stocked
  • Keeps clips of all articles from the press
  • Maintain staff and board contact lists
  • Update telephone listings


Facilities management:

  • Oversees maintenance, cleaning and upkeep of 2 South Center Street properties to keep in good condition; oversee upkeep of playground
  • Handle all vendors/suppliers/contractors/repair people
  • Ensure lawn, trees and gardens are kept in top quality condition
  • Oversee weekly cleaning to keep offices and facilities with professional appearance
  • Keeps inventory of keys and other equipment


Administrative support for Director of Programs, Administrative Director & Executive Director:

  • Oversee files – retire (shred) files according to retention policy; file all materials as requested.
  • Identify expenses, complete reimbursement forms and prepare for submission to funders
  • Write general correspondence as requested
  • Collect and store online all board meeting materials.
  • Serve as central IT /Website coordinator

  Keep web calendar current for all events

      Update website with current program, staffing and other events

      Provide updated calendar listings to Millerton News as requested

      Maintain internal Google calendar with programs, events & vacations

Design and manage Google Drive

Organize Google files so that they are appropriately identified and in chronological order

Maintain inventory of all IT equipment and assist Administrative Director in annual assessment of IT needs, training and hardware updates

  • Updates grant calendar (applications and reports)
  • Assists in completing and submitting grant application and reporting forms
  • Assists program staff as requested by administrative directors



  • Minimum 2 years office experience
  • Strong organizational skills with a respect for accuracy, timeliness and detail
  • Ease in working as part of a fast paced convivial office with a good sense of humor
  • Self-starter who asks questions appropriately but takes initiative to move projects forward
  • Good grasp of the English language & grammar; good basic writing skills
  • Basic understanding of and comfort with math
  • Terrific basic computer skills and familiarity with Google suite
  •  Keen sense of efficiency and appreciation of collaborative team work
