About the Position

The Systems and Constituent Care Coordinator will work in partnership with the Manager of Data and Systems and the Operations Team to implement systems, drive efficiency and develop data and reporting expectations for the team. The Systems and Constituent Care Coordinator will also work in tandem with the Data and Systems Coordinator to provide frontline support to Kesem constituents including program participants, donors, and other supporters of our work.

Essential Functions and Responsibilities:

Systems Support (20%)

  • Lead annual build of National Leadership Summit application and support for chapters and Operations team. Work with Summit Project Manager to streamline process and report out on registrations and vacancies
  • Update Salesforce and Classy with updated chapter information, such as a new chapter name, when necessary 
  • Support cross-departmental needs related to chapter-level data and information through the development of a central tracking system 
  • Develop efficient and timely tracking systems to better support chapter management through certification process
  • Create and maintain Classy fundraising pages for chapters to collectively fundraise to support Kesem financial goals 
  • Administer Operations team forms in Form Assembly. Responsible for on-time deliverables, supporting transitions and developing clear/efficient workflows, including performing follow-up checks to ensure that partial applications are completed by constituents.
  • Serve as systems liaison for the Operations Team, working closely with the Manager of Data and Systems and joining Operations leadership team meetings occasionally to identify needs
  • Serve as System Administrator for organizational systems, in collaboration with the Manager of Data and Systems and the Data and Systems Coordinator. Including but not limited to: Salesforce (Reports and Dashboards), FormAssembly administration, Classy page management


Metrics and Reporting (30%)

  • Develop and maintain reporting, tracking, and YOY metrics for Through and Beyond Support
  • Develop processes and manage interns to upload camp attendance rosters of 12,000+ campers and 5,000+ volunteers into Salesforce within 48 hours of the first day of camp session
  • Prepare and distribute Salesforce Reports and Dashboards with chapter-level metrics and information. Serve as Operations team point person for other departments who need chapter specific information
  • Maintain records of chapter historical performance and information in Salesforce. Work with the Manager of Data and Systems to develop and maintain stewardship reports for key contacts
  • Support cross-departmental needs related to chapter-level data and information through the development of a central tracking system
  • Coordinate with all departments by developing and maintaining metric-based reports, dashboards, additional Salesforce items for metrics and tracking (including configuring templates for all chapter reporting, dashboards, and financial donations reporting).


Constituent Care Function (50%):

  • Serve as a tier-one representative of the organization, resolving inquiries, and routing/escalating inquiries to the appropriate team member.
  • Document all cases for follow up and record-keeping purposes.
  • Monitor and maintain service metrics on a bi-weekly basis. Including but not limited to: service dashboards and reporting with oversight to case volumes, inquiry trend analysis, chatbot performance, and user access issues.
  • Provide as needed support to other departments for special projects, including administrative and financial functions
  • Monitor and report on accuracy of internal and external content for inquiry support and customer service (FAQs, Salesforce Knowledge articles, etc.)


Qualifications

  • A four (4) year degree and/or relevant experience preferred 
  • Fluency in Spanish is preferred
  • Strong technical skills including advanced use of Google Drive Suite and/or MS Suite. Experience using CRM system (Salesforce) preferred
  • Customer service preferred
  • Strong written and interpersonal communication skills
  • Proven ability to work with diverse groups
  • Highly organized, flexible and creative

 

Job Environment and Location

  • This is a full-time position. It is expected that the responsibilities will require anywhere from 4 to 10 meetings per week, including with supervisor, team members, outside vendors, and other constituents. 
  • The Systems and Constituent Care Coordinator will work remotely from their home office.  Kesem will provide a laptop computer and cell phone. 
  • The Systems and Constituent Care Coordinator should expect to travel approximately 4-6  times annually, all within the United States, for internal meetings and events. All work-related travel expenses are covered by Kesem. 


Compensation

  • The minimum annual starting salary for this position is $43,860, and any salary amount above this would be based on relevant professional experience in a similar career level role.
