Job Description - Part-time Finance Associate

The nonprofit Evanston Rebuilding Warehouse (ERW) was founded in 2010 to reduce the amount of building materials entering the wastestream, promote reuse, and rebuild lives. We operate a reuse retail store that is open to the public and full of donated building material. We offer deconstruction services to homeowners that want to save their building materials from landfills. We run a paid workforce training program that provides job readiness and on the job training in deconstruction. And we engage the community in workshops and programming that builds a culture of reuse and repair. 

The ERW seeks to hire a part-time Finance Associate to implement all aspects of day to day accounting, payroll, and employee benefits processes. It’s a critical role to build a strong organization that is growing in personnel and budget in Evanston and the City of Chicago.

This is a part-time hourly position of at least 30 hours per week with potential for future full-time employment. Hours are flexible Monday-Friday and some hours could be done remotely.  The Finance Associate reports to the Operations Manager.

Primary Responsibilities:

Implement day to day bookkeeping and accounting transactions and reporting

• Processes and records all financial transactions for the ERW including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliation in accordance with GAAP
• Pays invoices and sales tax in a timely manner
• Invoices and collects accounts payable for outstanding contract or grant payments
• Conducts monthly bank and credit card reconciliations
• Proactively develops and maintains an organized system of up to date financial records 

Assists in financial reporting

• Coordinates with auditors in preparation of year-end audit and IRS national and state fillings
• Prepares financial reports for monthly board meetings and grant reporting
• Assists in budget preparations, cash flow projections, and developing other financial tools as needed

Ensures that payroll and employee benefits are efficiently and effectively administered

• Manages all aspects of payroll, including managing time tracking systems and paid time off accrual for employees, payroll execution and reporting with our payroll administrator
• Provides enrollment and other support services to employees for all workplace benefits, including healthcare, dental, vision and workers compensation.

Supports development of financial and administrative policies and procedures

• Assists in the research, development and implementation of systems, procedures, and efficiencies related to finance and personnel administration tasks
• Performs other duties as assigned

Job Skills and Qualifications:

• Minimum of two years nonprofit accounting experience
• Accounting coursework or degree in accounting preferred
• Understanding of Generally Accepted Accounting Procedures as they apply to nonprofit organizations
• Proficient and comfortable in Microsoft Office, Quickbooks, Google Apps, ADP and Salesforce
• Strategic, excellent organizational skills, self-starter, motivated and comfortable working independently and on a team
• Excellent verbal and written communication skills with exceptional attention to detail
