Position Description

The Executive Assistant / Bookkeeper is responsible for organizing and supporting the Executive Director and Board of Directors of this fast-paced professional association by performing a wide variety of administrative, bookkeeping, and development tasks. The Executive Assistant / Bookkeeper must have the skills and experience to provide high-level administrative support, which includes strong problem-solving skills and the ability to prioritize and organize in an effective manner and respond quickly to changing requirements. 


ACMT is a virtual organization with its Executive Director based on Phoenix. The position is a home-based position with preference for someone residing in the Phoenix area.


Primary Responsibilities

General Administration

  • Performs all administrative duties assigned by
  • Executive Director and the Finance and Operations Officer
  • Manages and maintains office records on Google Drive - ensures folders and files are kept up-to-date and organized
  • Serves as the primary point of contact for email, phone, mailing/shipping, supplies, bills and other office administrative tasks

Bookkeeping

  • Undertakes daily bookkeeping tasks, including bank deposits, ACH transactions, payroll processing, account statement reconciliation, travel reimbursements, vendor outreach and other various bookkeeping tasks as needed. 
  • Manages office inventory - maintains an current list of office supplies and equipment
  • Monitors organization compliance with federal, state, and local regulations and standards 
  • Performs regular HR Administrative duties including onboarding new employees, maintaining employee files and processing bi-weekly payroll 
  • Performs other duties as assigned

Board Meetings, Executive and Committee Meetings

  • Schedule and arrange board and executive meetings: prepare meeting materials, attend meetings, take minutes, and organize the follow-up 
  • Organizes and participates in various committee meetings and activities providing necessary documents and taking notes as needed.
  • Maintains board member files including annual updates to board member lists

Qualifications, Experience and Skills

  • Minimum three to five years as an Executive Assistant and / or Administrator required
  • Minimum Associate's degree, Bachelor’s preferred
  • Experience being the first point of contact with outside vendors
  • Understanding of non-profit business operations and federal grant administration is a plus. 
  • Experience with QuickBooks software 
  • Excellent communication skills, verbal and written including professional writing skills to compose memos, letters, and other business correspondence 
  • Highly productive with minimal supervision
  • Strong computer and internet skills, including Microsoft Office suite, Google and Zoom
  • Strong scheduling and organizational skills
  • Able to maintain a high level of confidentiality
  • Professional appearance and demeanor
