Summary Statement: The 890 Operations Manager (890 OM) works to advance Gibney Dance as part of a coordinated Operations & Facilities Team. The 890 Operations Manager reports to the Director of Operations & Facilities, manages the Center Associates, assists with the management of Center Interns (CI) and Center Fellows (CF), and supervises a number of vendors.


RESPONSIBILITIES


FACILITIES MANAGEMENT


The 890 OM has primary responsibility for the management and smooth operation of Gibney’s 890 Center. This person enforces policies and practices that ensure the highest levels of safety, cleanliness and order of the Center. Specific responsibilities include:

 

· Oversee the day-to-day operation of a 10-studio facility

· Coordinate and manage a robust schedule of rehearsals, events and programs

· Act as an “on call” staff representative for emergencies, alarms, and uncovered building operating hours

· Assess the current condition of electrical, air conditioning, plumbing and other essential facilities and equipment

· Ensure the safety of the Centers from fire, flood, and other hazards and initiates an active campaign on safety measures in the Centers

· Develop interventions to solve problems in the facility

· Maintain accurate records of the condition of the equipment and other systems in the Centers

· Establish and enforce maintenance timetables and checklists

· Participate in the development of policies and procedures that affect the use of supplies and facilities, monitor maintenance inventory tracking, oversee the ordering and storage of supplies

· Supervise the maintenance team, including Caretakers, outside services and vendors

· Serve as point of contact for all building related requests (building overtime, maintenance issues, etc.)

· Correspond and coordinate with a clientele for studio setups and lockouts


REINFORCEMENT OF CENTER CULTURE


The 890 OM works to ensure that the Gibney 890’s unique culture is reinforced and reflected in every aspect of the facility. The 890 OM will:


· Work to ensure that the Gibney 890 culture is warm, welcoming, positive and professional

· Work to instill a sense of pride among our constituents in our facilities and programs

· Maintain a generous service culture that goes “above and beyond” to ensure artists are respected and their needs are accommodated

· Fairly enforce all policies and procedures for use of the spaces

· Be aware at all times of what is happening in the studios

· Implement interventions for those who fail to adhere to the rules or compromise the space


SPECIAL RENTAL & PROGRAMS LOGISTICAL COORDINATION


Under the supervision of the Director of Operations, the 890 OM is responsible for coordinating 890 Broadway and 280 Broadway Center rental activities. This requires meticulous preplanning and communication with internal and external constituents holding special rentals and programs in the Centers. Specific responsibilities include:


· Act as an ambassador and liaison for the planning and execution of event, performance, audition, workshop, and intensive rentals, as well as on-site coordinator during the rental

· Establish and maintain outstanding client relationships and standards of customer service for rental customers

· Greet guests at the Centers, provide orientations and answer questions

· Execute timely responses and communications with clients and potential clients

· Clearly communicate and enforce studio rules and rentals policies

· Accommodate the creative needs of clients through operational solutions that safeguard and protect the space


FINANCIAL ADMINISTRATION & REPORTING


The 890 OM is responsible for managing Center expenses. This requires developing and administering strategies to ensure efficient and cost effective purchase. Specific responsibilities include:


· Prepare and process outside vendor invoices and payments

· Track expenditures for studio supplies and equipment vs. budget

· Continually consider ways to contain and reduce expenses

· Enforce protocol for class cash outs generated by CF/CIs

· Collect, code, and process all receipts for center purchases, check requests, invoices, and bills

· Assist the Senior Finance Manager & Director of Operations with timesheet collection and paycheck distribution

· Assist Senior Finance Manager with identifying and coding unknown purchases and transactions

· In-person contact for all credit union transactions


GENERAL ADMINISTRATION & OFFICE MANAGEMENT


The 890 OM serves as general supervisor at 890 Broadway, with primary responsibility for the smooth operation of GD’s administrative office.


· Maintain office supplies and inventory

· Hire interns and coordinate monthly schedules

· Maintenance of all office equipment (printer supplies, postage machine, etc.)

· Manage computer inventory including regular updates of software and troubleshooting

· Manage and track building keys to staff members and outside temporary consultation as needed

· Act as network administrator, in conjunction with IT consultants

· Troubleshoot IT problems when they occur

 

ASSISTANCE WITH CI/CF MANAGEMENT


The 890 OM assists the DO with the training and management of the CF/CIs. This requires high-touch approach and thoughtful interaction with an eye to constant training, feedback, and communication. The 890 OM trains and manages CF/CIs to be punctual, reliable and accountable, and to embody the values of the organization.
