Monument Impact (MI) is seeking an energetic, experienced candidate to fill a full-time Executive Assistant to the Executive Director position as part of a dynamic immigrant justice organization based in Concord, CA.


About Monument Impact

Since 2001, Monument Impact has worked with the Monument community of Concord, which is largely comprised of low-income, refugee, and immigrant families and people of color, to address barriers to economic advancement. Our mission is to ensure that immigrants, refugees, and low-income residents in Concord and surrounding communities have the voice, tools, and relationships for an equitable share of the social and economic wealth in our region.

The Executive Assistant position is a full-time, non-exempt position reporting to the Executive Director. The Executive (EA) is primarily responsible for supporting the Executive Director (ED) to help her manage her various priorities and responsibilities. This dynamic position works with all facets of the organization and is integral in moving Monument Impact’s mission forward as we work for racial equity, economic inclusion, and a healthy community. This role provides a great opportunity to gain a holistic view of a thriving, passionate, and effective nonprofit that works side-by-side with the members of our community. The EA presents a professional image of ED in all internal and external contexts. The ideal candidate has the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The EA partners with the Program Director to help prioritize workload. 

The ideal candidate takes initiative, knows how to help a team succeed, communicates clearly and constructively, is able to multitask with ease and remain organized, and knows when, where, and how to manage up. 

Responsibilities

1. Tracks ED’s commitments and priorities and helps her meet deadlines. 

2. Serves as point of access to ED for staff and the public. 

3. Ensures clear and efficient logistical communication between the ED and MI staff. 

4. Manages ED’s complex calendar including scheduling internal and external meetings. 

5. Tracks Management Team action items, meeting notes, and team files. 

6. Supports the Program Director to ensure program outcomes are being reported in a timely manner by MI’s program teams.

7. Works with Development consultant and staff to accomplish the tasks of the development department, especially tracking and prioritizing the ED’s development tasks and planning fundraising meetings.

8. Assists Development Manager in producing thank you letters, annual appeals, etc. 

9. Coordinates and manages logistics for board meetings including tracking and developing board materials, creating the board packet and taking detailed minutes at the board meetings. 

10. Receives and directs voice mails from ED’s phone and/or MI’s general account. 

11. May also be asked to manage correspondence between hiring teams and applicants when new jobs are posted. 

12. Other duties as assigned.


Qualifications 


• Bachelor’s degree or equivalent experience

• Minimum of 2 years’ experience directly supporting an executive. 

• Commitment to MI’s mission and racial equity.

• Ability to effectively manage multiple tasks simultaneously. 

• Excellent written, verbal, and oral communication skills, including a professional telephone manner and the ability to communicate productively and effectively in email and in person. 

• Attention to detail. 

• Superb time-management skills and task management skills. 

• Ability to work independently and as part of a team.

• Ability to take initiative, but also to accept direction and seek guidance appropriately. 

• Excellent analytical and organizational skills, with demonstrated ability to make decisions quickly and independently. 

• Experience with social media highly desirable. 

• Bilingual (English/Spanish) a plus.

• Demonstrated commitment to promoting diversity, equity, inclusion and justice personally is highly desirable.

• Proficiency with Microsoft Suite including Excel, Word, and Outlook. 

• Proficiency with CRM databases, particularly Salesforce is a plus. 


Salary and Benefits:

This is a full time, non-exempt position, with vacation, sick time and 11 paid holidays. Starting pay range is $23-$25/hour, commensurate with experience.
