Criminal Justice Initiative seeking a Full-Time Executive Assistant

 

The New York based Criminal Justice Initiative (CJI), a donor-activist funding body, is searching for a full-time Executive Assistant, who will directly support the Founding Director in shaping and implementing the funding circle’s national criminal justice reform work.


About the Criminal Justice Initiative

 

CJI brings together community organizers and donor-activists to identify, fund and nurture grassroots organizations that engage communities in transforming the U.S. criminal justice system.


Over the last 15 years, CJI has funded over 200 grassroots organizations in 25 states who are impacting a diverse set of criminal justice issues from shackling imprisoned women during childbirth, to mandatory minimums, stop and frisk, private prisons, school-to-prison pipeline, juvenile justice, solitary confinement and immigrant detention. We’re seeking a criminal justice professional, previous confinement experience a plus, who can help us expand our funding work and build deeper community coalitions.


Position Overview:


The Executive Assistant will:

1) assist the Founding Director in the coordination and administration of CJI’s day-to-day operations;

2) exercise judgment, sensitivity and discretion in the execution of assigned responsibilities;

and

3) present a positive image of the Criminal Justice Initiative and the Founding Director’s Office in all internal and external contacts. 


The Executive Assistant must be a strong problem solver with a nuanced understanding of criminal justice issues in all communities of color, expert organizational skills to help manage program growth and multiple efforts and strong communication skills, and attention to detail, that supports funder relationships and donor collaborations. 


Responsibilities:


Planning

●      Assist the Director in the coordination and administration of the day-to-day operations of the Director’s Office. 


●      Assist the Director in the preparation and control of the Director’s Office non-personnel budget.


●      Coordinate the scheduling, preparation and logistics of appointments and meetings (with a heavy focus on fundraising).


●      As requested, assist the Director in the coordination of agency cultivation and development activities and events.


●      Make travel arrangements for the Director.


Administration

●      Exercise judgment, sensitivity and discretion in the execution of assigned responsibilities.


●      Coordinate and assist with communication to the Director Office’s internal and external contacts. Maintain an accurate, accessible network database on a current basis.


●      As requested by the Director, initiate and oversee assigned projects.


●      Maintain the records and files needed for the effective administration and operation; ensure their completeness and confidentiality.


●      Review and screen incoming correspondence and phone calls and ensures their responsive and expeditious processing.


●      Maintain an awareness of current agency policies and guidelines and assists the Director in ensuring that administrative operations and practices are in compliance.


●      Manage any and all other activities assigned by the Director.


Monitoring

●      Ensure timely follow-up on all requests to the Director’s office.

Organizational Relationships

●      Liaison with other departments as required or directed.

External


●      Maintain contact with the offices of corporate and foundation funding sources; with key private donors of their staffs; and with vendors, consultants and other outside resources.


Supervisory Responsibilities

●      Temporary personnel as needed during peak periods.

Qualifications


Education

●      Bachelor’s degree preferred, associate degree acceptable.

Work Experience

●      Must have a minimum of five years’ administrative experience, preferably in a non-profit environment, with substantial administrative responsibilities.


Knowledge and Skills

●      Excellent written and verbal communication skills.

●      Must be able to prioritize and multi-task, while remaining unflappable, professional, and maintaining grace under fire.


●      Strong interpersonal skills, able to deal effectively with a wide range of persons; in particular people with different levels of access to wealth and class, people of different ages, races, cultures, sexual orientations and identities; people with a history of incarceration, and people directly impacted by the criminal justice system.  


●      Excellent administrative skills; comfortable and proficient with professional correspondence and editing, Word, Excel, Powerpoint, mail merge functions; document formatting, etc.


●      Facility with donor database and/or electronic admissions programs a plus. Experience with zoom or other webinar and teleconference programs a plus.


●      Able to take direction, work in a team, and work independently.


●      Able to maintain discretion with confidential information.


●      Must have a well-developed sense of humor.


●      Thrives on creating harmony out of chaos, and creating administrative systems that enhance clarity and efficiency.


●      Demonstrated alignment with the movement for CJI’s mission of ending mass incarceration and mass criminalization is a plus.
