Hope For Harvest Youth Center, Inc is looking for a Program and Operations Associate to undertake various administrative and program management tasks. You will help plan and organize programs and activities as well as carry out essential programmatic and operational duties. To be an excellent Program and Operations Associate, you must be organized and detail-oriented, have an entrepreneurial spirit, work independently, and comfortable working with diverse teams. This position will split its time between Hope For Harvest Youth Center and COCM (our sister organization).
- Serve as a gatekeeper for daily office operations, including addressing/rerouting external information requests via phone and email, maintaining a clean, organized, and efficient office environment
- Serves as a central point of contact between internal and external constituencies on day-to-day programmatic, operational, and administrative matters; assists with meetings, special projects, and general problem resolution.
- Coordinates activities of support staff, consultants, and volunteers engaged in the implementation and administration of program objectives.
- Provides specialized administrative support in developing, implementing, and marketing program/project function (e.g., website management, organizational collateral).
- May perform specialized activities of a programmatic nature to support the accomplishment of program objectives and protocol.
- Work closely with Director of Operations to manage vendor relationships through invoice collection, timely payment submission, tax exemption management, and cutting in-house checks as necessary.
- Responsible for site-level procurement of supplies, materials, equipment, and inventory management.
- Writes, edits, and coordinates the development of promotional materials, educational materials, training manuals, newsletters, and brochures, as appropriate to the program.
- Maintains program/project records, researches information, and gathers and computes various data; prepares special and one-time reports, summaries, or replies to inquiries, selecting relevant data from multiple sources.
- Monitors and administers program/project revenues and expenses; may develop or participate in developing funding proposals for the program.
- Schedule and oversee appropriate maintenance and cleaning required for buildings
- Ensuring the organization's compliance with applicable health, building, zoning, and safety licensing and certification requirements; overseeing facilities management, fulfillment, shipping/receiving, mailroom, inventory control, on-site and off-site storage, purchasing, and telecommunications system.
- Collect and process rental payments for rental properties
- May assist with grant and proposal writing as appropriate to the program's objectives and funding nature; may participate in other fundraising activities.

- College graduate or equivalent work experience
- 2 – 3 years administrative and programmatic experience working in education or youth development, nonprofit management, volunteer-focused organizations, or a related field
- Experience working with under-resourced communities
- Knowledge of program management and development procedures
- Skilled in operation of Microsoft Office, Google Drive, and QuickBooks Online software
- Knowledge and experience working with WordPress
- Ability to work with diverse and multi-disciplinary teams
- Excellent time-management and organizational skills

Work Location and hours
The primary work location is 1800 Brewton Drive to include both buildings on the property. Typical hours will be Monday - Friday from 11:00 am – 4:30 pm with a 30-minute break, with some evening and additional hours required for programs, events, and summer programs.
