Primary Purpose of the Job:

Our Human Resources Generalist role requires an experienced professional, highly skilled in the management of employee records, HRIS, Labor Law compliance guidelines (i.e. OSHA, FMLA, FLSA, ERISA, and EEOC), Onboarding, Off-boarding, Benefits and Compensation. This individual will have direct/hands-on accountability for the appropriate and regular use of HR programs, processes and systems to ensure the confidential maintenance and management of all employee, organizational and key constituent data and records. Additionally, this position provides organizational support for various processes and in various information systems covering such areas as payroll change reporting, COBRA administration, employee benefits/bills reconciliation, onboarding materials preparation, staff development and training activities, as well as recruitment process flow support. This position also engages in organizational wide/cross-departmental special projects, events, and other initiatives as they arise on a daily basis and/or as assigned.


Principle Duties and Responsibilities:

Benefits Management

·        Coordinate open enrollment meetings, including communications and notification postings

·        Timely responsiveness to employee benefits questions

·        Review and reconcile all benefits bills to ensure accurate enrollment and changes

·        Secure payroll and employee data for responses to workers compensation, unemployment and short-term disability claim submission

·        Process COBRA Request Forms. Resolve discrepancies with broker of record and/or third-party administrator

·        Produce regular reports (weekly, monthly and quarterly) for Head of HR to share with Senior Leaders

HRIS Management & Support


·        Identify and collect relevant data for the creation of ad hoc and scheduled HRIS reports

·        Analyze data to extract key findings, trends and insights, to provide actionable recommendations relevant to organizational needs and business operations

·        Provide Timely and Accurate employee data reports upon requests from Feeding America, EEO, Department of Labor, US Census Bureau and other Federal, State and Local Regulatory Agencies, as wells as, reports needed by funders and internal grant Managers

·        Liaison/partner with Finance to resolve AP/AR matters

·        Support Head of HR in maintaining HRIS dashboard with relevant human capital data

·        Partner with Recruitment Lead and Head of HR to ensure optimization and usage of Applicant Tracking System (ATS)

·        Oversee the processing of data entry for new hires, pay rate changes, promotions etc.

·        Perform routine data updates


Process Management

·        Timely and accurate completion of PPAs and ADP entries for employee status changes (payroll, address, family and job)

·        Collection and Filing of Annual Performance Reviews, including quarterly updates, PIPs (Performance Improvement Plans) and salary increase recommendations

·        Ensure IT, payroll and pertinent departments are informed of the on-boarding of new employees and the off-boarding of departing employees

·        Support employees access and use of their 403 (b) retirement plan

·        Administer Paid Family Leave policies in compliance with NYS legislation

·        Maintain integrity of HR processes via the development of templates for procedures, guidelines, flow charts and training modules on for end-users

 

Employee Relations

·        Serve as a point of contact for HR related queries

·        Work with staff and leadership team to resolve employee matters and mitigate risk

·        Share Performance Management trends and best practices with Managers and Supervisors

·        Support the Recruitment Lead and Hiring Managers on the timely scheduling, assessment and documentation of candidates interviewed

·        Work with the Head of HR to coordinate the annual succession planning meeting

Qualifications

·        Bachelor's degree required

·        Minimum 5-7 years of HR Generalist experience in a fast-paced environment (preferably within the non-profit arena) 

·        Multi lingual skills highly desirable

·        Proficiency in MS Office: strong analytical & quantitative skills

·        Prior experience with HRIS required (ADP preferred)  

·        Solid judgment; able to demonstrate a high standard of personal integrity and business ethics: ability to maintain sensitive & confidential information discretely

·        Flexible, creative, organized and detailed-oriented and proven problem solver

·        Strong verbal and written communication skills

·        Proven ability to manage multiple tasks with competing priorities

·        Knowledge of recruitment administration

·        Able to interact with individuals at all levels of the organization and across multi-cultural and generational backgrounds

·        Willingness to travel between three company locations in Manhattan and the Bronx

·        Experience or knowledge of social services/hunger issues a plus
