Heron is currently working to shift from traditional philanthropy toward a model of participatory philanthropy, ceding the authority to make investment decisions to local integrated capitals committees in a number of communities across the U.S. It is in the process of forming its first committee, made up of a diverse group of representatives that will create a shared vision for their community.


ABOUT THE POSITION:

Heron’s Finance and Administration Coordinator supports the organization with a strong process orientation and attention to detail. Reporting to the Director, Finance and Administration and supporting the Operations Team, the Coordinator will play a critical role in Heron’s smooth operations and ability to achieve its mission.

The Coordinator will support key finance and administration processes, identifying and documenting critical steps, managing stakeholders through completion, thinking critically about their purpose, and implementing improvements, including:

  • Providing key support to day-to-day finance activities, such as accounts payable and receivable, bookkeeping, and expense management. 
  • Supporting the Director, Finance and Administration on the annual financial audit and budgeting processes.
  • Leading the operational aspects of the grants management and directed giving processes, working closely with the Integrated Capitals and Operations teams to steward each grant through the system, reporting on status, maintaining documents, and ensuring compliance.
  • Maintaining Heron's vendor document, information, and contacts organization, supporting the team's usage through intuitive systems and improving them as needed.
  • Routing contracts for signatures, tracking them through the process and organizing them once executed.
  • Developing fluency in Heron's systems, supporting the team's adoption and usage. Systems include Intaact, Salesforce, Box, bambooHR, bill.com, Microsoft Office, Asana, Zoom, and Nexonia.
  • Supporting ongoing enhancements to Heron's Salesforce implementation, expanding the team's usage to include elements like vendor management and better integrating it with other systems and processes.
  • Managing Heron’s operations inbox, responding to inquiries as possible, routing others to team members as needed, and ensuring timely response.
  • Managing Heron's facilities & phone system, coordinating with related vendors, project managing the upcoming office move, serving as the primary point of contact for building management, and overseeing conference room booking systems as needed.


DESIRED QUALIFICATIONS:

  • Five or more years of experience in managing processes as captured in this role’s key responsibilities, ideally in a nonprofit or foundation setting.
  • A strong process orientation, with the ability to understand discrete steps.
  • A systems-level approach, designing and executing systems and processes for purpose.
  • Outstanding organizational skills with an overall execution orientation and exceptional attention to detail.
  • A strong customer service orientation and the proven ability to apply it to internal and external relationship management; empathy, humility, and respect for others. 
  • A proven ability to explain process-related details to staff and partners, translating complex concepts into easily digestible information.
  • Exceptional problem-solving skills with the ability to develop and implement solutions.
  • Technical savvy and appreciation for innovative technology solutions with the capacity to work across Heron’s systems and other IT applications; ideal candidates will have experience in several of Heron’s existing systems or their counterparts.
  • The capacity to apply process management and analytical skills to manage work streams in new content areas.
