Summer Search Boston is seeking a Program Operations Coordinator to ensure the smooth execution of the summer component of our program and support program operations as well as other year-round program activities. This position reports to the Operations Manager.

This hire will facilitate all logistics of life-changing summer experiences --- from wilderness trips to international travel programs -- for our high school students. This is an ideal position for someone who loves details and logistics and is eager to join a team that is committed to social justice and the students we serve.

 

WHAT YOU’LL DO 

 

Summer Programs Support (60%)

  • Support the planning and execution of all logistics for our summer programs in order to prepare and send approximately 220 high school students on 2-6 week summer experiences.
  • Lead and support the curriculum development for all internal summer programs, as well as trip preparation trainings for mentors and students.
  • Oversee equipment inventory distribution and collection for wilderness trips, ensuring that every student receives the equipment they need in advance of their departures.
  • Coordinate student travel booking, health documents, and other pre-trip requirements, ensuring that all necessary documents and itineraries are shared with summer partners by deadlines.
  • Respond to challenges related to trip logistics (e.g. student registration, insurance forms, travel plans), collaborating with program staff and summer partners to troubleshoot issues and implement timely solutions.
  • Coordinate all logistics of pre- and post-trip student events, such as the annual hike, wilderness trip orientations, trip preparation workshops, and fall celebration.
  • Ensure that student data is entered into Salesforce in a timely manner.
  • Provide training and ongoing support to program staff in order to facilitate their involvement in summer trip preparation, including creating schedules, workflows, and check lists for key milestones.
  • Participate in team-wide learning in REDI (Racial Equity Diversity and Inclusion) and contribute to promoting a work environment that operates with an understanding of systemic barriers that impact the low-income communities of color.
  • Provide on-call phone support to students during the summer months, including responding to student safety concerns and triage to other staff or resources as appropriate.

 

Program Team Support (20%)

  • Collaborate to manage equipment and student trip preparation as well as travel itinerary and bookings.
  • Communicating with external audiences such as program vendors.
  • Provide regular support for special projects related to other aspects of the program, such as event planning for student outreach and enrollment.
  • Pitch in as needed with short- and long-term requests from program staff.

 

General Operations Support (20%)

  • Support the Operations Manager in the execution of in-person or virtual events.
  • Communicating with vendors that provide office support and supply.
  • Track and maintain office supply needs and ensure the tidiness of the office.
  • Proactively identify ways to improve procedures and policies for smooth daily operations, taking care to anticipate and address opportunities to create greater efficiencies in the office.
  • Support and lead efforts for the receiving/distribution of student donations. (Kate Spade, Coach etc.)

WHO YOU ARE

  • EXPERIENCE: At least 2 years of experience in an operations or administrative role, ideally in a nonprofit, experiential education, travel program, or similar organization.
  • ORGANIZATIONAL SKILLS: High attention to detail and ability to juggle multiple workstreams and keep track of deadlines and deliverables. Completes tasks in a timely manner.
  • JUDGEMENT AND PROBLEM-SOLVING SKILLS: Diagnoses and addresses problems head-on, with the agility to respond to unexpected changes in a thoughtful and calm fashion.
  • CUSTOMER SERVICE ORIENTATION: Proactively addresses user (e.g. staff, students, external partners) concerns and needs. A “can do” attitude, and responsiveness and follow-through. Prior experience working with external vendors/partners is a plus.
  • TEAMWORK: Demonstrated ability to coordinate team member participation on projects, delegating tasks and communicating clear expectations for others.
  • TECHNICAL KNOW-HOW: Proficiency in database and Microsoft Office programs, including the ability to manipulate data and create reports in Excel. Salesforce experience is a plus.

WORK HOURS AND LOCATION 

Work hours are Mon-Fri 10am-6pm with occasional weekend and evening special events. As are currently working remotely until further notice due to COVID-19, you will be provided a technology set up to work from home as well as other accommodations as necessary . After office reopening, this position will be based out our Boston office in Jamaica Plain.
