Position Overview

Design Museum Everywhere is seeking a full-time Executive Assistant to join our growing team and work directly with our Executive and Creative Director as we continue to grow. The primary objective of the Executive Assistant is to support our Executive and Creative Director in the day-to-day operations of the museum network.

We seek an extremely organized person with excellent time management and people skills to fill the role. This position reports to the Executive and Creative Director, Sam Aquillano, and interacts with staff, Board members, and other external community members on a regular basis.

Successful candidates will have a Bachelor’s degree in a relevant field with 1-2 years of experience — or relevant, equivalent experience.

 

Position Functions

  • Directly manage and help with our Executive Director’s task list — he takes on a lot, and we want him working on the more strategic areas of the museum
  • Manage email and written communication from: and to: our ED
  • Plan and schedule meetings for our ED and directly manage his calendar/daily schedule
  • Attend meetings (currently virtual) with our ED, capture notes, summarize, and follow-up with attendees
  • Plan, book, and coordinate travel and transportation for our ED and guests
  • Book and coordinate speaking engagements for our ED
  • Provide transportation — we need someone with a valid drivers license and clean driving record who doesn’t mind urban traffic.
  • Organize files and records
  • Prepare and/or edit reports and presentations
  • Provide high-quality service to donors and partners

Qualifications

  • 1-2 years relevant experience
  • Passionate about operations, organization, and helping others
  • High level of polish and people skills — you’ll be working with a lot of people: staff, board members, volunteers, donors, etc.
  • An efficient, hard worker — you’re going to have to keep up with our Executive and Creative Director!
  • Extremely organized — we’re looking for someone more organized than our ED, and he’s pretty organized!
  • A process-thinker — the museum is growing and we’re focused on developing processes that help the whole team run efficiently and effectively
  • Data and database management skills
  • Very strong written and verbal communication skills — there’s always a lot to write, from emails to proposals and more
  • Strong knowledge of online tools and software
  • A creative problem solver and self-starter who can receive collaborative direction but also work independently
  • An efficient and detail-oriented worker producing work on both short and long term projects
  • Observant, curious, considerate, kind, respectful, supportive of others
  • Goal-oriented, but not afraid to admit when they need help

 

Details

  • Begin ASAP
  • Full-time: Monday-Friday, hours generally 9am-5pm
  • We are a remote-first office, however this position will need to be able to commute to our Boston, MA office as needed, and eventually for in-person events this fall.
  • This position also requires a valid driver’s license and clean driving record – since we’re a nomadic museum, car rental and driving to sites is common. This position also requires the ability to sit and stand for extended periods of time, and to be able to lift at least 50 lbs.
  • Starting salary range: $40,000-43,000/year
