Basic Function: Under the Corporate Secretary’s supervision, the Board Relations Coordinator assists with developing, planning, and implementing LSC Board of Directors meetings, events, task forces, and other special initiatives. The Coordinator conducts research, drafts documents, corresponds with stakeholders, and manages projects to support Board functions and Corporate Secretary operations. The position is located in Washington, DC, but will be performed remotely until the pandemic subsides. Some travel may be required post-pandemic.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


Board Coordination & Support – 50%


1.     Serving as a thought partner, assists the Corporate Secretary and Special Assistant to the President with developing, planning, and executing all Board meetings, including:

a.     Researching meeting topics, content, and potential panelists/speakers, and drafting moderator scripts and talking points;

b.     Working with Board members and managers to develop meeting agendas;

c.      Accurately and timely scheduling meetings consistent with stakeholder availability;

d.     Tracking, reviewing, and editing meeting materials;

e.     Preparing Board books using LSC’s board management software, Convene;

f.       In direct coordination with Travel and Event Manager, working with colleagues, external stakeholders, special guests, and vendors to coordinate meeting logistics, including reserving meeting space, seamlessly administering videoconferences, addressing audio/visual needs, engaging a court reporter, preparing signage, ordering catering and refreshments, drafting and sending invitations, managing guest lists, developing meeting sequencing, etc.

g.      Drafting run-of-show and other logistical support documents;

h.     Assisting with meeting execution in-person and virtually, including overseeing set-up/clean-up; coordinating vendors, Board members, and attendees; troubleshooting logistical problems; and tracking motions and action items;

i.       Completing substantive and administrative post-meeting tasks, including drafting thank you notes and meeting minutes, obtaining transcripts, and processing travel and meeting expenses.


2.     Proactively identifies tasks and action items that need to be completed to ensure seamless implementation of meetings, events, and initiatives.


3.     Anticipates possible challenges and creates contingency plans. Troubleshoots logistical problems and communicates problems to management, as necessary.


4.     Drafts clear and concise Board resolutions, memoranda, reports, summaries, presentations, and other requested materials.


5.     Analyzes and presents data and information in compelling and appropriate formats using Excel and PowerPoint presentations, and other relevant visual displays.


6.     Works collaboratively with staff across LSC and develops productive working relationships with internal and external constituencies, including members of LSC’s Board of Directors.


Board Project Management – 30%

 

7.     Assists with managing the Board’s special projects, initiatives, and task forces, including coordinating meetings, assignments, and documents; facilitating communications, including internal and external communications for Board-initiated task forces and events; and tracking progress to ensure the projects stay on budget, within scope, and are completed on time.


8.     Assists the Special Assistant to the President with tracking and monitoring progress on Board action items to ensure they are timely completed.


Board Administrative and Executive Support – 20%


9.     Drafts and edits internal and external communications, including emails, for the Corporate Secretary and Special Assistant to the President that are clear, concise, compelling, and error-free.


10. Assists with gathering and compiling information from across the organization for use in various reports and presentations for Board meetings, special projects, initiatives, and task forces.


11. Accurately and timely schedules meetings consistent with the availability of stakeholders including task force members, forum participants and attendees, and other partners.


12. Processes Board members’ honoraria compensation, expenses, and confidential financial disclosure reports.


13. Assists with posting relevant Board content on LSC’s website and internal eWeb pages.


14. Organizes and files Corporate Secretary records, including meeting transcripts and minutes, and maintains the integrity of all Corporate Secretary records.


15. Responsible for the maintenance, preservation, and proper retentions/destruction of Corporate Secretary records in accordance with LSC’s Records Management Policy.


16. Performs other related duties as assigned.

Technical/ Specialized:

A minimum of a bachelor’s degree and at least three years of relevant experience. Strong research and analytical skills. Advanced proficiency in Microsoft Office Suite, especially Word, Outlook, Excel and PowerPoint, and with Adobe Acrobat, including complex document creation. Able to create graphs, charts, animations, and other illustrations in PowerPoint presentations. Advanced proficiency in managing online meeting and event platforms such as Zoom. Experience working with and maintaining electronic file management, and knowledge management systems including tracking information using Excel and Access.



SALARY AND BENEFITS:

 

Salary: $71,183 Step 1

Salary range: $71,183 - $80,175


LSC has a competitive market-based salary structure that establishes a specific salary range for this position. The salary range has eight pay levels separated by seven steps. A new employee will be hired at Step 1 and must wait two years to advance to each of the next three steps (Steps 2 through 4), and one year to advance to each of the next four steps (Steps 5 through 8).
