Grant & Contract Manager

The Polus Center for Social & Economic Development, Inc., a Massachusetts nonprofit organization supporting people with disabilities in the US and worldwide, is searching for a Grants Manager. Duties and responsibilities include managing overall federal, state and private grant contracts, documenting payments and expenditures, preparing progress reports, ensuring compliance with grant regulations, reviewing proposals, managing grant databases, engaging with donor agencies, educating staff on policies, and preparing financial reports. Candidate should have excellent organizational, budgeting and monitoring skills. The Grants Manager will ensure positive donor relationships, streamline grant administration, and provide fiscal oversight. This position requires good judgement and planning skills, a positive attitude and above all to be a team player.

Responsibilities:

  • Prepare and upload federal, state & private grant progress reports
  • Develop and maintain a filing system and fundraising data base
  • Help prepare, upload, and track grant applications
  • Develop and update administrative systems to make them more efficient
  • Manage multiple projects and resolve administrative problems as needed

·       Assist with funding research on systems such as grants.gov, Foundation Center

·       Ensure all grant requirements are kept up to date (e.g., DUNS number, SAMS registration)

  • Assist with grant-related payroll & submitting/reconciling expense reports

·       Assist with implementing fundraising strategies and activities

·       Assist with ensuring Standard Operating Procedures are up to date per applicable law/grant requirements, and that award requirements are followed and documented

  • Assist with all state and private funding grants and contracts, including initial award documentation, drawing down federal funds, billing, and amendments
  • Assist with subawards, MOUs, and documenting compliance with award requirements
  • Work closely with Executive team & prepare reports for Board of Directors 

Requirements:

·      Experience in grant writing & related government contracts management

  • Knowledge of Federal and State auditing requirements 
  • Budgeting and accounting experience
  • Office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills

·      Experience working within development, including grant writing and related government contracts management teams

Skills & proficiencies:

  • Team player with exceptional interpersonal skills
  • Self-starter, motivated, and able to take initiative in all situations; ability to function effectively in a quiet but fast-paced environment
  • Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines

·       Excellent attention to detail and organizational skills, methodical and strategic thinking

  • Ability to work well independently with minimal supervision and as part of a team.

·       Ability to learn and use multiple software and grant management systems

·       Experience with federal systems such as grants.gov, Sams Domestic, Payment Management System and Massachusetts billing systems such as COMMBUYs a big plus

·       Proficient in software skills, especially Excel, Word, and Quickbooks

·       Bi-lingual Spanish a plus

·       Strong writing skills and ability to consolidate information from multiple sources

·       International development and experience working in the disability field a plus

$60,000 - $65,000Commensurate with experience
