Executive Assistant & Data Manager, the HAVI

Our vision is to build a system of healthcare that mobilizes hospitals and communities to end violence, together.

Hospital-based violence intervention programs (HVIPs) vary in the specifics of their design and scope, but typically include a brief intervention in the emergency department or at the hospital bedside as well as intensive community-based case management services following discharge. HVIP services are provided by culturally competent Violence Prevention Professionals who often also serve in a mentorship capacity. HVIPs are rooted in the philosophy that violence is preventable and that violent injury offers a “teachable moment” and unique opportunity to break cycles of violence. HVIPs embrace a public health approach to violence prevention as they are grounded in data, which indicate that victims of violence are at elevated risk for re-injury and violence perpetration. This model has been the subject of numerous peer-reviewed studies indicating promising impact on injury recidivism, criminal justice contact, and trauma symptoms. HVIPs are now a recommended practice by the federal government.

The network has grown to hundreds of individuals, including physicians, nurses, therapists, gang interventionists, outreach workers and researchers who are affiliated with 41 member programs in the U.S., Canada, England and El Salvador. Our goal is to support the growth of HVIPs throughout the United States. The HAVI’s work is carried by seven distinct, yet interconnected, departments. These departments include: Training & Technical Assistance, Planning & Design, Peer Learning, Policy & Advocacy, Strategic Partnerships, Communications, and Operations.

The HAVI is a fiscally sponsored project of Health Resources in Action, Inc. (HRiA).

The Executive Assistant & Data Manager will work directly with the Executive Director, Managing Directors, and the HAVI Operations Department to support our growing organization. The Executive Assistant & Data Manager will be trusted with sensitive information and complex duties including managing the Executive Director’s calendar, recording detailed minutes of high-level meetings, maintaining organizational databases, coordinating executive reports, and assisting with fundraising development. The ideal candidate is a resourceful and collaborative problem solver with a keen attention to detail. We prefer candidates with a passion for violence intervention and a determination to campaign for racial equity.

The Executive Assistant & Data Manager will report to the Executive Director. This is an exempt, full-time, fully remote position. The salary range for this position starts in the 60,000-70,000 range and is based on skills and experience.

Duties and Responsibilities:

Management

  • Management and prioritization of the Executive Director’s day-to-day calendar to ensure sensitive and timely matters are addressed. This includes:
  • Organizing appointments and meetings as requested.
  • Preparing agendas and materials for meetings.
  • Serving as a conduit for all invitations and requests for meetings.
  • Arranging catering for organization meetings and events that involve the Executive Director or Senior Staff as directed and in cooperation with the Operations Department.
  • Schedule and coordinate travel plans, accommodations, and itineraries for Senior HAVI team members in cooperation with the Operations Department.

Project Work

  • Work with the Executive Director to develop and refine correspondence, memos, proposals, spreadsheets, slideshows, reports, and other executive/organizational documents using multiple platforms and software programs as requested by the Executive Director.
  • Screen incoming correspondence and respond professionally on behalf of the Executive Director as necessary.
  • Work with the Executive Director to address Advisory Board directives and requests.
  • Work with the Executive Director to coordinate Advisory Board Meetings, including preparing and distributing materials in advance, preparing meeting minutes, setting up equipment, and ordering refreshments.
  • Maintain and appropriately archive files related to the Advisory Board
  • Working with the data collection task force, take the lead on continuous improvements to the organization-wide Contact Relationship Management (CRM) system
  • Manage CRM updates and reporting

Thought Leadership

  • Be a trusted, informed point person for HAVI, clients, funders, and the community.
  • Participate in meetings as assigned by the Executive Director to record minutes and relay important information.
  • Assist Executive Director with identifying and implementing ways to increase productivity and efficiency.
  • Discuss staff perspectives with the Executive Director as needed or requested

Business Development

  • Support the Executive Director in new business prospective and evaluation new business development opportunities.
  • Assist with proposal development and/or packaging.
  • Gather and prepare documentation for proposals and/or contract extensions, as needed.
  • Coordinate with the Operations Department to streamline senior and junior staff members’ business development efforts
  • Maintain grants management and donor databases and develop reports as necessary.

Special Requirements

  • At least five (5) years of experience providing administrative support to senior level staff
  • Interest in advancing the mission of The HAVI and the principles of racial equity

 

Candidate Qualifications:

  • At least five (5) years of experience providing administrative support to senior level staff.

  • Excellent time management skills.
  • Sophisticated understanding of the needs of and demands on executives.
  • Advanced writing and communication skills; able to produce professional correspondence, presentations, meeting minutes, etc. with high attention to detail.
  • Highly effective interpersonal skills and ability to interact and collaborate with staff, Advisory Board, and clientsstrong customer service approach to work and projects.
  • Strong event planning skills.
  • Superior organizational skills and dedication to completing projects in a timely manner.
  • Ability to adapt to changing priorities.
  • Demonstrated resourcefulness, creativity in problem solving, and overall good judgment.
  • Ability to treat confidential information with appropriate discretion.
  • Professional appearance and demeanor.
  • Ability to telecommute and work effectively with minimal supervision.
  • A commitment to value diversity of thought, backgrounds, and perspectives.
  • Ability to design presentations using professional tools such as powerpoint, prezi, etc.
  • Working knowledge of Microsoft Office Suite and Google Suite.
