Job brief

We are looking for an experienced Administrative Assistant to help with the organization and running of the daily operations of a large non-profit literary organization.

The ideal candidate will be willing to take on all manner of tasks, from administrative details of office management to higher-level writing and editing functions. This person will interact extensively on the phone with our membership, support the nine professional staff members who work both from home and at our office, and provide note-taking and proof-reading functions for all internal and external communications. An active interest in children’s literature is a plus.

 

Responsibilities

Office management: This is an in-person, in the office position. Receiving packages, ensuring that the office is in good physical condition, coordinating with Executive Director and building management when office upkeep is needed. The position requires a complete Covid vaccination.

Member Communications: Answer emails via ZenDesk help center; first on phone, 9am-5pm. 

RA Communications: Answer questions about Zoom, point of contact between staff and the regional volunteers. 

Logistics and Mailing: Mail out books to award judges, sort mail, office communications

Meeting Coordination/note-taking: Plan and schedule office meetings in-person and on Zoom. Provide notes after meetings.

Assisting with our Wordpress site/content updates: Make changes to the website content when needed. (additional Website and database duties will be assigned along with training)

Golden Kite Assistance: Log book submissions in our database, communicate with publicists & authors, ensure all authors are SCBWI members.

Industry List: Log job changes and updates within the children's publishing industry to keep VIP list updated and organized/data entry

Conference Time: Register faculty, staff, and board members for conference, collect info. for faculty bookstore, set up board meeting, assist conference coordinator

Marketing Program Assisting: BookStop promotion including VIP page creation, contacting for assets, setting up pages

 

Requirements

  • Proven experience as an office administrator 
  • Working knowledge of office equipment and procedures
  • Excellent communication skills and ability to engage and motivate members
  • Excellent organizational and time management skills
  • Proofreading and copy editing experience with attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in MS Office, Excel, and proficiency in or capability to learn how to use a Word Press site back-end
  • Enthusiasm for books, literacy, and the publishing community
  • Eagerness to take on new projects, volunteer for additional responsibilities and respond to career growth opportunities

 

Additional Attributes - Not Required

  • Knowledge of and/or interest in children’s books, literature, publishing, library arts, creative writing, illustration
  • Proficiency in Adobe creative suite
