The Community Alliance with Family Farmers (CAFF) is a non-profit organization whose mission to build sustainable food and farming systems through policy advocacy and on-the-ground programs that create more resilient family farms, communities and ecosystems. CAFF is a membership organization guided by a board of directors that includes family farmers and others who are passionate about food, farming and the environment. CAFF runs Regional Food Systems projects such as Farm to School projects, Climate Smart Farming campaigns, and providing technical assistance in accessing new markets to farmers around the state. Position Summary

The Senior Manager for Finance and Grants is a critical player on CAFF’s leadership and administrative team. This position will work with the Executive Director and program staff to determine grant strategy and direct financial resource allocation across grant proposals in order to meet the organization’s financial needs. This position works with program and administrative staff to oversee the grant writing process and manage reporting, compliance, budgets, and allocations on current contracts and grants.  The position will work with the Staff Accountant to track revenues from contracts and grants and apply to annual program budgets.

Major Duties and Responsibilities

Finance and Administration of Contracts and Grants

·      Manage contract and grant budgets, conducting quarterly analysis of spending progress and communicate issues and needs to program staff and overseeing close-out

·      Manage personnel sheets and grant/contract allocations for program staff

·      Serve as primary contact for government and foundation funders

·      Track pending and current contracts and grant details and deadlines in Salesforce

·      Write and submit grant reports and budget/SOW revisions

·      Work with the Staff Accountant to create accurate invoices

·      Work with program staff to negotiate and create budgets for fee-for-service contracts


Grant Proposal Management and Writing

·      Coordinate monthly grants meeting to review upcoming grant opportunities with program staff and determine which grants to go for and timelines

·      Review grant RFAs and instructions and direct program staff on writing and program strategy, including watching webinars and submitting questions that come up in granting process

·      In conjunction with the Executive Director, manage and employ outside grant writing contractors when needed or when funding allows

·      With support of program staff, write grant narratives, develop grant budgets, and secure partnerships

·      Write budget narratives

·      Proof-read and edit narratives

·      Handle required attachments and submittals

·      As requested, research and prospect potential government and foundation grants



Other Duties

·      Maintain and track funding outlook dashboard in order to prioritize funding needs

·      In conjunction with the Executive Director, assist program staff in developing annual program budgets

·      In conjunction with the Staff Accountant, track revenue allocations from year to year for annual organizational budget

·      Serve on Management Team and provide monthly analysis of grant and contracts revenues



Bachelor’s Degree


·      At least 3 years of professional experience in financial analysis, contracts and grant management,  program development, and grant writing

·      At least 3 years of experience in non-profit management

Knowledge, Skills and Abilities

·      The ability to analyze data and information and develop systems as needed

·      The ability to maintain confidentiality with sensitive information

·      Strong written and oral communication skills

·      Resourceful and able to perform a variety of administrative and organizational tasks with a creative approach to problem solving

·      Flexibility to work independently, with minimal supervision, as well as collaborate with others in a team setting

·      Flexibility to work on a variety of projects, simultaneously

·      Strong meeting facilitation skills

·      Proficiency in Microsoft Office, especially Excel

·      Proficiency with collaborative working platforms such as Salesforce, DropBox, and Google Drive

Physical Abilities

·      Ability to sit for long periods of time working at a computer.

·      Requires a full range of physical mobility, such as bending, stooping, lifting, turning, carrying objects, and grasping.
