Organization & Position Summary

Through exhibitions, educational programs, and special events, we welcome all ages to experience stories about the built world and its power to shape our lives, communities, and futures.

The Museum seeks a candidate for the Development Operations Manager who will streamline the department’s operations and systems, including prospect and campaign reporting, financial tracking and reporting and compliance issues. The right fit candidate will be self-motivated, organized and detail-oriented and will take the initiative to help streamline the department’s processes. Having a team lead background will help ensure success in this role, as the Manager provides administrative and project management support across the department. The Development Operations Manager plays a central part in ensuring the institution’s fundraising success.   

Essential Duties and Responsibilities

Database Management

  • Manage the Museum’s donor database, DonorPerfect Online and its weekly synchronization with the web-based CRM, Luminate Online.
  • Enter gifts and pledges into the donor database, working with Relationship Managers to ensure accuracy of deposit reports.
  • Create donor records, input data and develop strategies for coding of records.
  • Ensure contact record entry by Relationship Managers in the database and generate reports to monitor moves management activity and provide progress reports upon request.
  • Produce database reports to support the department, including donor listings, contact record reports, financial reports, prospect management reports and gift analyses. Prepare donor recognition lists for the annual report and Great Hall donor plaque.
  • Assist membership team and other staff with DonorPerfect and Luminate Online-based web site issues as needed.
  • Act as the Development Department’s representative to the institution for database and web interface issues.

Finance

·        Prepare monthly scorecard and development income report and reconcile figures with Finance Department.

·        Prepare quarterly reports on development income for board meetings.

·        Track departmental expenses and reconcile figures with Finance Department.

·        Assist Finance Department with yearly financial audit, including pledge and gift documentation, financial reports, drafting procedures as needed.

·        Working with the VPD, manage the preparation of annual budgets and re-forecasts.

·        Prepare Contributed Goods & Services report and other financial documentation for the audit and 990.

Compliance

·        Ensure compliance with charitable giving standards and legislation, including oversight of state registration and coordination of NBM’s profile on charitable giving websites.

·        Work with the department to identify policies and procedures that need to be developed or documented to maintain high levels of donor trust and meet best practices.

Office Operations

  • Manage general office operations for the department, including work space, office supplies, and equipment (copier, fax, printers, etc.).
  • Maintain operations-related documents on the shared drive and manage the organization of the shared drive

People Management

  • Supervise the Events Coordinator, overseeing their work planning exhibition openings, cultivation and stewardship events, festivals and the gala.

ADA SPECIFICATIONS

·        While largely sedentary, this position requires the ability to sit, stand, lift up to 20 lbs, speak and to hear, sometimes for extended periods of time.

·        Requires the ability to use a computer and office equipment traditionally found in office settings.
