Oakland Youth Chorus Seeks a Development Coordinator - create harmony in our community!

The Development Coordinator provides administrative support for the cultivation, solicitation, and stewardship of donors as well as logistical support for special projects and OYC events. This key role reports to the Executive Director and coordinates fundraising, communications, and outreach activities focused on individual donors, events, tour fundraising, and volunteering.

What You’ll Do:

Development Administration

  • Coordinate and execute the annual appeal.
  • Process individual gifts and pledges and send out acknowledgments in a timely manner.
  • Maintain accuracy of constituent database and actively improve quality of donor records.
  • Primary responsibility for OYC’s online auction – including solicitation of donations, preparing listings, launch, promotion, distribution, and thank you letters.
  • Manage logistics of donor mailings (4-5 per year)
  • Create mailing lists for donor outreach and stewardship.
  • Coordinate appeal and concert marketing mailings. Merge and produce in-house letters/labels/envelopes.
  • Facilitate tour fundraising campaigns:
  • Set up and maintain online crowdfund account, and help crowdfunders set up and manage their pages.
  • Provide information, resources, and toolkits to crowdfunders before and during campaigns to help them easily and successfully fundraise.
  • Coordinate tour fundraising events
  • track singers’ individual tour accounts.
  • Effectively articulate OYC’s mission, programs and impact.
  • Provide superior donor relations via the phone, online, and in person.
  • Provide Executive Director with administrative support as needed.

Event and Volunteer Coordination

  • Coordinate list management, distribution of invitations, RSVPs, and post-event communications for donor events.
  • Participate as assigned at fundraising events, OYC concerts and community performances where requested.
  • Coordinate materials and lead teams at outreach/recruitment events (ie community tabling at festivals or professional networking events).
  • Direct recruitment, intake, assessment and orientation of event and concert volunteers.

Communications

  • Support the production of content for email campaigns, newsletters, and annual report
  • Produce and distribute press releases and other content for various media outlets as directed
  • Manage social media channels, including Facebook pages, Twitter accounts, and Instagram accounts. Ensure channels have regular activity and relevant content, all photos used have cleared releases, and ongoing audience engagement.
  • Draft eblasts for fundraising campaigns and other communications needs.
  • Support website updates.

To be successful in this role, you have most of the following:

  • Excellent written, editing, verbal, and interpersonal communication skills.
  • Ability to work under multiple priorities and deadlines with a collaborative problem-solving approach and the flexibility to help where help is needed in a small office dynamic.
  • The ability to reflect and work through feedback, continually learn and grow, and problem solve independently and in teams in a small office environment is key.
  • Minimum two years’ experience in fundraising/communications  
  • Minimum one year of administrative support experience within a Philanthropy, Fundraising, Development, or other related departments
  • Must be available to work some evenings and weekends, particularly Nov-Dec and March-May for OYC events
  • Strong MS Office Suite proficiency (Word, Excel, PowerPoint)
  • Familiarity with music and/or arts education preferred
