Founded in 1974, Illinois Humanities is a non-profit, state council of the National Endowment for the Humanities. Our mission is to strengthen the social, political, and economic fabric of Illinois through constructive conversation and community engagement. We set out to accomplish this mission through grantmaking, humanities-based educational programs, and public programming and exhibitions in the areas of public policy, arts, media & journalism, and the economy. 

In this full-time position for the Loop Office, the Administrative Assistant for the Programs and Exhibitions Division is responsible for providing support to the Programs and Exhibitions Division in the areas of administration, event assistance, processing finances, record keeping, and database management. The Administrative Assistant for the Programs and Exhibitions Division will provide support for the program focus areas of Art, Media and Journalism, the Economy, and Public Policy, as well as other programs and initiatives. 

What You Will Do:

Office Support

  • Maintain Raiser’s Edge database and enter all necessary information for people, programs, and events 
  • Assemble all materials for meetings/events/programs
  • Perform all administrative follow-up from meetings/events/programs Maintain meetings/events/programs calendar
  • Maintain meetings/events/programs calendar

Program and Event Support

  • Maintain event timeline and meet deadlines leading up to the event  
  • Communicate with presenters/speakers to gather biographical and event information 
  • Gather necessary information for announcements, flyers, and programs for events 
  • Compile, update and maintain registration lists 
  • Collect evaluation survey results and process data to be shared with Program Manager and Director of Programs and Exhibitions

What You Will Offer:

  • Mastery of Microsoft Office software. Strong database skills (Raiser’s Edge experience helpful). Familiarity with social media (Facebook, twitter, and web content) a plus
  • Strong time-management and organization skills
  • Self-motivated and independent problem-solving skills
  • Ability to manage multiple projects, project management is supervised
  • Attention to detail
  • Comfort working with finances, reconciling reports
  • Ability to work in and with diverse communities and organizations (socio-economic, racial, ethnic, ideological, etc.) and ability to interact with highly accomplished people
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a diverse team
  • A positive manner in dealing with people, ability to work collegially and collaboratively with fellow staff and to establish service oriented, helpful relationships with community groups and other partners

Compensation:

  • Salary range from $30,500 to $38,000

Work Environment:

  • Loop office is accessible. Work at off-site locations is required and those may not necessarily be fully accessible  
  • Evening and weekend work might be required and a flexible work week is allowed  
  • This role routinely uses standard office equipment such as computers, phones, xerox machines, and scanners. Employee is regularly required to communicate effectively via computer and phone
  • The employee must frequently lift and/or move objects up to 25 pounds
