AoH is in the process of overhauling and improving its Student Information System to become a more data-driven, and efficient charter school for adults. Currently, we are hiring two positions – a Data Support Specialist (DSS), and a School Information Systems Specialist (SISS) – to be part of the Accountability team and help design and implement this process and systems. A key component under the new information strategy at AoH is to decentralize information and reporting functions to key stakeholders for more rapid and relevant use of data and information. We are looking for individuals who want to join the team at this time of positive change, and want to help carry out continuous improvements.

Position Overview:

The School Information Systems Specialist (SISS) has the responsibility of configuring and maintaining data systems for use by the programmatic teams at AoH.  The SISS will co-train staff on the use of the student information systems (e.g., Powerschool or eSchoolPlus like systems, LACES, but also including supplemental educational/assessment systems, and worksheets) and work towards producing more efficient data models and reporting tools for internal teams. The SISS will work with a Data Support Specialist (DSS) and a data governance team to ensure alignment between working relationships with learners, overall programmatic outcomes, and technology adoption. This position will ensure the proper availability of tools for dashboard and report generation and use.  The ultimate objective is to bring relevant and easy to use information tools to empower staff to use data for continuous improvement of student outcomes, and program and organizational performance.  This position will provide leadership and support for the development and adoption of data systems to support a culture of data-driven decision making across the organization.  As part of a change management process, the SISS will coordinate with the DSS key and specific group training sessions and 1-1 coaching sessions for identified data systems’ user groups. School


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Database/Student Information System Management

  • Project manager for new SIS multi-phased implementation and then for maintenance/upgrades
  • Collaborative work to gather/update functional and non-functional requirements
  • Configure and manage student information systems to meet business/program processes
  • Maintain system security and manage user permissions
  • Manage information integrity across different systems
  • Actively participate in identification, design and implementation of new information technologies/databases to enhance monitoring and evaluation capacity in conjunction with data governance team
  • Provide and/or coordinate training and support for end users
  • Maintain information quality by regularly auditing data-related tasks performed by teams, in conjunction with support provided by DSS
  • Coordinate work with DSS to support academic and program staff with ongoing or new information needs/clarification
  • Ensure information retention policies for records is accurate and up-to-date
  • Ensure data sharing protocols with OSSE/DCPCSB are in compliance, and data transfers perform according to requirements and design
  • Participate in student and program data integrity and validation processes
  • Other duties as assigned


Program’s Performance Information Management

·        Manage the integration of data management for identified program measures and ensure accurate and most efficient collection and reporting of interim and output/outcome information.

·        Work with key stakeholders to establish usage of systems and reports for key performance indicators (KPIs) and reporting cycles of such.

·        Ensure data systems and processes support the monitoring and evaluation framework for program performance.

·        Design and implement systems use/adoption trainings around performance management and organizational learning in order to foster a data-informed culture and empower staff and students to use data. Identify challenges and propose solutions or work around steps. 

·        Work with Director of Accountability, and the Operations team to manage processes regarding the creation, storage, and retention of organizational information and knowledge.

·        Other duties as assigned

Level of Language Proficiency

QUALIFICATIONS:


  • Bachelor’s Degree, with fifth year college or university program certificate preferred; or two to four years related experience and/or training; or equivalent combination of education and experience; ideally in adult education settings.
  • Demonstrable project management skills.
  • Demonstrable experience with implementation of cloud-based SIS and/or adult education school systems to support education and career pathways within a multi-sited, multi-term, multi-program model, including alumni postsecondary and employment follow-ups.

·        Experience with data analytics and business intelligence reporting applied to educational reporting systems and student information systems, including the needs of adult education specific reporting requirements

·        Familiarity with statistical analysis and experience with related software packages preferred.

·        Knowledge of and experience with relational databases.

·        Experience with setup and maintenance of data mapping and transfers between data systems.

·        Ability to work with and comfort with multiple/hybrid information environments.

·        Microsoft Excel, with ability to create dashboards, and strong ability to use/learn complex formulae and run macros.

  • Knowledge and experience with LACES information system for adult and family education, preferred.

·        Strong Computer skills (Microsoft Word, Excel, and Power Point), including internet navigation proficiency

·        Knowledge or experience in scripting or programming language is a plus

·        Strong interpersonal skills and degree of comfort working with and training colleagues with varying levels of comfort with data collection and entry.


OTHER NECESSARY SKILLS AND ABILITIES:

Ability to develop reports using queries; ability to maintain confidentiality; ability to establish and maintain effective working relationships; ability to exercise good, independent judgment; ability to work under pressure and meet deadlines; ability to organize and perform work independently; ability to maintain computerized records and systems; comfortable working with cross-functional teams towards shared results; skill in keyboarding and data entry.
