Job Description

The training and placements coordinator will be an organized, creative and motivated self-starter. The coordinator will support training for a range of learners, from undergraduate students to nurse practitioner fellows, social work interns, and medical students, across the Institute’s network of 31 community health centers. The coordinator’s time will be evenly split between student and volunteer placements and the Institute’s Fellowships, with more time being spent on either program at certain points during the year. For example, the coordinator will spend more time on the fellowship during recruitment, onboarding, and orientation of the new fellows each spring. S/he will:


Responsibilities:

 

For the Student and Volunteer Placements Program:

  •  Interact with diverse students and other prospective trainees to assess their skills and goals, and match them with appropriate training opportunities
  •  Work with various clinical and administrative staff across the Institute to coordinate selection and placement of volunteers, interns, and clinical students across the organization;
  • Insure proper completion of onboarding paperwork and assist with human resources clearance;
  • Collect appropriate student placement data using the quarterly placements tracking tool;
  • Collaborate with the Institute’s administrative offices to coordinate affiliation agreements with schools;
  • Submit student demographics and student rotator information to the Grants and Project Management team for quarterly grant reports;
  • Maintain an up to date list of interns and volunteers, supervisors, and sites;
  • Coordinate the Social Work intern training program, including:
  • Review social work student candidate applications
  • Distribute resumes for sites to interview student candidates
  • Facilitate scheduling of interviews
  • Organize intern supervisors’ schedules and availability
  • Assist with selecting and placing social work interns
  •  Insure proper completion of student evaluation forms as needed throughout the year

 

For the Nurse Practitioner Fellowship in Primary Care for the Underserved:

  • Collaborate with Program Director on recruitment and selection of fellows;
  • Collaborate with staff from the Institute and education partners to organize an annual program orientation for the NP fellows;
  • Work with clinical staff from various clinical sites at the Institute to ensure NP fellows’ schedules meet program guidelines;
  • Act as liaison to providers and support staff from specialty medical offices where the NP fellows rotate as learners;
  • Organize and co-facilitate monthly program meetings with fellowship program staff and NP fellows; 
  • Assist Program Director in providing support and professional development opportunities for NP fellows;
  • Assist with program evaluation:
  • Collect clinical evaluations from preceptors who’ve supervised the NP fellows;
  • Collect evaluations from fellows on their specialty rotations and program experience;
  • Monitor clinical productivity reports to aid the Program Director in evaluation of the NP fellows’ clinical progress;
  • Assist Program director with performance evaluation of fellows as needed;
  • Manage the program budget;
  • Recruit and liaise with community preceptors who will supervise the fellows.
  • Work with appropriate staff to develop a Nurse Practitioner Fellowship for the MidHudson region.


For the Institute for Family Health’s Fellowship in Addiction Medicine:

  • Collaborate with Program Director on recruitment and selection of fellows;
  • Collaborate with staff from the Institute and education partners to organize an annual program orientation for the fellows;
  • Work with clinical staff from various clinical sites at the Institute to ensure fellows’ schedules meet program guidelines;
  • Facilitate external rotations for the fellows;
  • Act as liaison to providers and support staff from specialty medical offices where the fellows rotate as learners;
  • Assist with program evaluation;
  • Ensure compliance with regulatory body requirements (i.e. ABAM, ACGME)


Requirement and Skills

·        Bachelor’s degree or 3 years of relevant experience required; masters degree a plus

·        Position is mostly based in Upper Manhattan with travel to other sites in NYC

·        Outstanding attention to detail;

·        Flexible, can work in more than one location and perform different day-to-day activities;

·        Able to work independently with minimal supervision;

·        Excellent organizational skills; comfortable managing deadlines;

·        Team player; able to work well with multiple internal and external stakeholders;

·        Interest in health care and human services a must; experience in these fields a plus
