The Administrative Assistant will serve as receptionist, provide administrative support for the staff, and generally being a positive and helpful presence in the workplace. This person is a member of the Finance and Operations team.

Principal Duties and Responsibilities

Administration

  • Greet persons entering the office, determine nature and purpose of visit, and direct or escort them to specific destinations;
  • Answer RI’s main phone line, screen and forward calls, providing information and taking messages when necessary;
  • Anticipate the needs of others to ensure their seamless and positive experience;
  • Update all RI materials on display and maintain front lobby and public areas;
  • Work with Operations Manager to ensure adequate inventory of supplies and materials;
  • Update equipment inventory list on a quarterly basis in conjunction with Operations Manager;
  • Take and disseminate minutes from staff meetings;
  • Generate memos, emails and reports when appropriate;
  • Support Operations Manager in daily operational tasks and general office activities;
  • Assist with document management tasks;
  • Serve as backup liaison with RI’s Board of Directors;
  • Serve as backup to the President’s Special Assistant;
  • Mail checks, file paperwork;
  • Assist with events;
  • Other duties as assigned.

A Bachelor’s Degree and 2 to 3 years of administrative experience preferred. 

Special Knowledge/Skills Requirements:

Strong attention to detail is essential; flexibility and ability to multi task; excellent interpersonal, communication and organizational skills; excellent professional writing skills; professional phone and email manners; self-motivated and able to work independently; strong software skills in database software and Microsoft Office, including Word, Outlook, Excel, and PowerPoint; internet proficiency required; team player with positive, professional attitude and the ability to interact with all levels of the organization; strong work and attendance ethic and ability to manage both paper and electronic files; and knowledge of a second language useful.
