This role is a 12-month position, which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards Act.

The Family Engagement Associate at Capital City will be responsible for these key areas:


Family Engagement and Communication 

  • Identifying, coordinating, and communicating school based volunteer opportunities for families and supports families in connecting with activities. 
  • Developing and managing a system for tracking and acknowledging parent volunteerism at Capital City as well as recording attendance at parent events.
  • Identifying and assisting families in accessing local resources. 
  • Serving as a point of contact for Parent School Association (PSA) leaders in coordinating and planning events.
  • Coordinating with office managers and other staff to publicize school events in English and Spanish. 
  • Supporting the translation of small documents as needed.
  • Supporting interpretation for school events and interprets as needed at parent/teacher conferences. 
  • Being responsive to parent needs and supports parents in communicating concerns to the appropriate school personnel. 
  • Supporting families in need by connecting them with resources and services. 
  • Helping to maintain a comprehensive and up to date list of family resources 
  • Partnering with Student Services staff to engage families of students with Individual Education Plans (IEPs)  


Re-Enrollment (current families)

  • Working with other staff to prepare re-enrollment information for families; assisting families as needed with the re-enrollment process. 
  • Coordinating Capital City PCS’s Saturday Enrollment Support Day and other extended hour sessions to provide families with enhanced support for admissions and enrollment processes 


Admissions/Enrollment (new families) 

  • Representing the school at recruitment fairs and other events including EdFest. 
  • With Principals and the Assistant Director of Family Engagement, planing a series of Open Houses for prospective families
  • Providing information about the school to new and prospective families. 
  • Attending MSDC trainings and meetings. 
  • Being extremely knowledgeable about and strictly following Capital City and MSDC recruitment policies. 
  • Arranging and supervising student shadow days for prospective students as needed. 
  • Managing waiting lists; providing information to administrators and front desk and office managers; making offers of admission in accordance with an approved plan. 
  • Verifying sibling and staff preferences. 
  • Working with Front Desk managers to ensure all necessary documentation including residency is collected for new families. Following up with families as needed. Maintains an update to date record of submissions and enrollment status. 
  • Collecting, organizing, and digitizing (if needed) registration information returned by families (including health forms, Home Language Surveys, lunch forms, report cards and transcripts, and IEPs) 
  • Working with principals to inform families of summer orientations and other events. 


Front Office Support/Other Duties 

  • Working closely with the Language Access Team and Development and Outreach Team.
  • Providing back-up support as needed to two front desk managers. 
  • Supporting all-school mailings. 
  • Verifying family relationships in School Information System (SIS) (working with SIS DIrector) 
  • Other duties as assigned by the Assistant Director of Family Engagement

Level of Language Proficiency

Qualifications:

  • Fluency in Spanish and English.
  • Bachelor’s Degree preferred; 60 credit hours towards Bachelor’s degree desired
  • Knowledge of resources and services available to families in Washington, DC
  • 2+ years experience working with diverse families in an urban setting. 
  • flexibility to work some evenings and weekends to support family events.
  • Proficiency with Excel Google Suite, and databases
  • Attention to detail to accurately collect, organize, and maintain data and information


In addition to the above requirements, staff members must meet the requirements of all hires at Capital City including a criminal background check and a negative TB test.
