Senior Accountant – Transactions (AP, AR, Payroll) and General Ledger

POSITION SUMMARY 

The Bay Area Discovery Museum (BADM) seeks an experienced Senior Accountant who can work well both independently and collaboratively and has exceptional attention to detail. This person will primarily manage Accounts Payable (AP) and Receivable (AR) and Payroll and will assist the outsourced finance team with reconciling ledgers. Reporting to and working closely with the CFO/COO, the Senior Accountant should be comfortable working within a dynamic, fast-paced environment.  

 

This is a regular, full-time (Monday-Friday) position with a pay rate ranging from of $65,000 to $80,000 annually depending on experience. Due to current health guidelines, the successful candidate may choose to perform this work predominantly offsite, with occasional required on-site work. As health guidelines evolve, we will reassess the flexibility for remote work. 

 

KEY ROLES AND RESPONSIBILITIES 

Accounts Payable, Expenses, & Disbursements 

  • Manages BADM’s AP, including processing timely ACH, wire, check payments, and auditing expense reports. 
  • Manages the corporate credit card process, including adding and deleting employees and account numbers in the credit card program. Optimizes efficiencies achieved by encouraging credit cards for recurring charges and high-volume vendors rather than checks 
  • Maintains all vendor master files and executed contracts with vendors.  
  • Maintains and continuously improves upon processes and scalable financial systems to support timely, effective, and efficient AP & disbursement processing. 
  • Responsible for AP related tax compliance, including Form W-9's and 1099’s annually. 

 

Accounts Receivable, Revenue, & Receipts 

  • Manages AR, including processing timely ACH, wire, credit card and check deposits, identifying past due balances, and collaborating with the development, visitor services, museum experience, and finance teams to ensure accurate revenue coding.  
  • Maintains accurate and complete list of grants and professional service contracts to be invoiced and collected. 

 

Payroll 

  • Prepares and ensures accuracy and regulatory compliance of BADM’s semi-monthly payroll using ADP Workforce Now, collaborating with the human resources team, which enters all payroll change information and oversees time entry. 
  • Prepares journal entry to post payroll expenses to the general ledger. Reconciles payroll and payroll tax expense to quarterly payroll report filings. 
  • Reviews, reconciles, and codes benefits invoices on a timely and accurate basis.  
  • Manage the annual workers’ compensation audit. 
  • Oversees issuing annual W2 forms by ADP. 

General Ledger & Other Ongoing Support 

  • Reconciles less complex general ledger accounts monthly and quarterly, as designated. 
  • Maintains accounting and financial procedures “how to” documentation and conducts accounting procedures orientation for all new employees. 
  • Oversees finance volunteer(s) when applicable. 
  • Assists CFO/COO and outsourced finance team on special inquiries. 

 

SKILLS AND QUALIFICATIONS 

  • B.A. degree in accounting or related field. Two years or more of related experience and/or training; or equivalent combination of education and experience  
  • Quick to learn different automated financial systems; hands-on experience with Financial Edge and/or ADP Workforce Now preferred. 
  • Advanced Excel skills including pivot tables and analysis; knowledge of Microsoft Word. 
  • Interest and commitment to BADM’s mission; non-profit experience a plus. 
  • Detail oriented, with excellent data review and transactions processing skills 
  • Self-starter and motivated team player; sometimes you’ll lead and sometimes you’ll follow. 
  • Ability to manage time, meet deadlines, work well independently and collaboratively and set priorities in a fast-paced, multi-task environment. 
  • Strong verbal and written communication and interpersonal skills 
  • Abides by and enforces BADM’s health and safety protocols.

  • 10,000 member families   
  • 26,000 children through our school and community programs   
  • 587 schools and 215 libraries through all nine Bay Area counties
