Big Sister Association is seeking a Program Events Coordinator to support the mission of Big Sister by executing strategies to engage institutions and individuals in events that strengthen the Big/Little Sister relationship and promotes the development of girls in a range of domains. These include the arts; health and fitness; civic engagement and leadership; college and work preparation and Science, Technology, Engineering and Math (S.T.E.M.) The Program Events Coordinator plans ongoing Big/Little Sister match activities, and large-scale annual events. This position reports to the Associate Director of Community Based Mentoring and is required to work some weekends and week evenings.


Responsibilities

  • Plans and implement annual events for Big and Little Sisters. Manages and plans smaller monthly events
  • Event planning includes management of venue, event logistics, invitation and RSVP process, coordination of vendors, placing follow-up calls to invitees, preparing collateral materials (i.e. nametags, registration lists) maintaining event records and data entry 
  • Onboard and supervise AmeriCorps staff member
  • Oversee Big For A Day program, a monthly event activity program for girls on our waitlist.
  • Manages expense tracking documentation
  • Stewards and manages relationships with vendors and in-kind donors for tickets, supplies, and services that provide opportunities for Little Sisters.
  • Solicits, coordinates and distributes donations of tickets and opportunities for Little Sisters in a tight timeframe.
  • Compiles and distributes monthly match activities and resources calendar to Big Sisters.
  • Supervises intern(s).
  • Serves as a liaison to designated planning committees, collaborating with volunteers to co-host matches at events and activities that take place throughout Greater Boston
  • Collects and maintains permission slips for participating Little Sisters
  • Uses agency database(s) to track and measure information for volunteers and event participants
  • Compiles reports based on data as required.


Qualifications

  • Bachelor’s degree
  • 1-2 years of experience in event planning
  • Experience managing volunteers and soliciting donations
  • Superb organization skills with meticulous attention to detail
  • Ability to multi-task in deadline- driven situations, interpersonal, and communication skills
  • Provide an outstanding level of customer service and care to all event partners and volunteers
  • Proven success working in fast-paced, performance-driven environment
  • Skilled at providing customized direction, coaching, and customer service via phone, e-mail, and in person
  • Strong project management skills and ability to manage multiple projects simultaneously
  • Strong commitment to and understanding of issues relevant to girls and women
  • Ability to work a flexible schedule including Saturdays, and evenings during the week, and a minimum of one weekend a month.
