Association Assistant

The Executive Department heads the office Management Team, and works in conjunction with the Board of Directors, to guarantee the overall functioning of MSF-USA and MSF-USA’s involvement in the larger MSF movement.


The Association Assistant together with the Association Coordinator and OCP Communications Officer, comprise the Association team. The Association team is strategically and functionally located in the Executive Department to facilitate the synergy between the Executive, Association, and the Board of Directors.


The Association Assistant reports to the Association Coordinator and works with both the Executive and Associative branches of MSF.




MSF-USA became a membership organization in 1999 in response to an MSF International Council resolution that all sections should incorporate the ‘associative’ concept into their structure and governance. Therefore, under the general direction of the Association Committee of the Board of Directors the Association team’s role is to foster discussions within the MSF-USA Association and to cultivate a strong, vibrant, well-informed membership that is able to assume its responsibility to elect the Board of Directors, to engage in the annual review of MSF-USA at the General Assembly, and participate in key debates surrounding the humanitarian activities of MSF as a whole in order to provide ongoing guidance to MSF-USA and the movement.


The Association Assistant supports Associative life throughout the US office and Association by supporting the team’s administration, communications, and membership engagement.







  • Arrange travel, accommodations, and visas (as needed) for Association team, Association members, and guests for Associative events.
  • Maintain the Association database, including updating member information and collaborating with Systems team to ensure proper functioning.
  • Prepare invoices and liaise with the Finance department to keep track of unit expenses.




  • Compose email blasts, Facebook posts, and internal communications that are distributed to the Associative network.
  • Participate in briefing and debriefing field staff traveling through the US office.
  • Support the administration of the internal Association website including producing content.


Event planning

  • Support the organization and management of logistics for the annual General Assembly (GA) and Regional Associative Meetings, including working with external vendors and managing volunteers.
  • Assist in preparations for the annual Peer Support Network training in collaboration with the PSN & Association Coordinators.
  • Help organize content and structure for evening debates and other internal events.


Membership engagement


  • Participate in the monthly Regional Hub call with regional coordinators around the country.
  • Support the planning and organization of Associative events and initiatives.
  • Solicit feedback from members and colleagues on events and content produced.
  • Collaborate in the strategic vision on sharing information and encouraging a culture of debate in the New York office and wider MSF-USA Association.




  • Genuine interest in, and commitment to, the Associative dimension of MSF and our humanitarian work.
  • Strong communication skills. Ability to communicate with a wide variety of people including Association members, Board members, and Office staff.
  • Strong computer literacy skills, including the familiarity with Microsoft Office Suite, Dynamics or other CRM, web conferencing software (Microsoft Teams, Zoom), and willingness to expand skills.
  • Experience planning events and managing logistics.
  • Availability to work occasional additional hours and weekends for Associative events.
  • Excellent attention to detail and proofreading ability.
  • Initiative and confidence to ask questions.
  • Ability to work independently and proactively on multiple tasks.
  • English verbal and written fluency.
  • Residence in or willingness to relocate to NYC metro area (no relocation package provided).
  • US work authorization.
